When to Involve EUC for Hybrid Meetings - Support Documentation
This KB will detail the best practice surrounding hybrid meetings as well as when the End User Computing (EUC) Team of LTG should be involved.

- Memorial Library Room 126 - Good for webinars, but can be used for most hybrid meetings

Hybrid Meeting Types/ Definitions
- Teams Meetings - Good for small, interactive meetings from virtual participants. Features include breakout rooms, sharing screens, and screen take over.
- Zoom Meetings - Good for more interactive meetings from virtual participants. Meetings allow for features such as breakout rooms where the larger group can be broken down into smaller groups.
- Zoom Webinars - Good for lecture-based presentations where the audience does not need to participate more than asking a question or leaving a comment in the chat. Virtual attendees would not be able to interact with one another.
Requesting EUC help? What level of support is desired?
- Level 1 - EUC is aware that there is a meeting that may need day-of support / troubleshooting. This type of support could be supported by an EUC student.
- Level 2 - EUC would help in setting up the hybrid meeting on the day of as well as being able to provide day-of support / troubleshooting. Support could be given by an EUC student or permanent staff member, if needed.
- Level 3 - An EUC permanent staff member would help set up as well as sit in on the meeting to provide support and troubleshooting.
- Level 4 - EUC would provide a full service, however to get this level of support, EUC may ask more questions than are listed below to make sure this is required. (This would be an EUC all permanent staff, all hands on deck situation)

- Ideally, EUC will get at least two weeks notice.
- Where would you like to have the in-person portion to take place?
- Which audio devices are required for your event? Microphone(s), audio playback, etc.
- Are there presenters?
- How many?
- Will they be in-person, virtual, or a combination?
- Will they have their own slides?
- How many people are going to be participating virtually?
- Will the people attending in-person need to speak / ask questions?
- Will the people attending virtually need to speak / ask questions in the meeting?
- What level of support are you looking for?
- Level 1

- Will this need to be recorded?
- If so, where will the recording need to go?
- Would you like EUC to upload the recording, or should someone else be in charge of that?
- Is there anything else the EUC needs to know to better support this hybrid meeting or you would like to tell us?
