LCS - Action Items and Documents Across All Applications in Kuali Build

The workflow process provides multiple action items including tasks, approvals or denials, and completing filling out forms. Action Items is where anyone can go to find the ones assigned to them instead of relying on emails.

Action Item List is your "To Do" list in Kuali

Instead of saving the emails of the approvals, tasks and what-not, Kuali lists everything assigned to you across ALL applications under the Action List top banner of kuali shows the Actions List and the number assigned to you

  1. The number in the circle next to Action List indicates how many are waiting for your action
  2. Clicking on the words will open the Action List. The types of actions you may have include:
    1. Approval - A form needs either your approval, denial or possibly pushed back.
    2. Acknowledgment - The form is there for your information, however, the workflow is not waiting for your acknowledgment to advance.
    3. Task - The form will instruct you on what task is expected.
    4. Form Fill - A form with the Action Requested of "Form Fill" indicates a document that you have submitted but that has been sent back to you for revisions.

All your In Draft and Submitted Documents across all applications

Kuali keeps track of all of your forms/documents across all of your applications for you.

  1. From the landing page, click on the words My Documents in the top banner.main banner has link to all documents
  2. The Documents page will open and you can toggle between those yet to be submitted (i.e. in draft) and those submitted along with their status in the workflow.toggle between in draft and submitted

Deny instead of Approve a submission

The ability to deny a request in Kuali Build is not clearly obvious. This explains what is seen by the approver/denier and how they should proceed.

  1. The ability to Deny (vs. Approve) is under the “...” next to the Approve button when the user is tasked with approving or denying the request. 
    1. Deny is found under the dots
  2. Clicking on Deny, then brings up a comment box. A comment must be left before the Deny button becomes active. 
    1. Comments added before enabling Deny
    2. Reason added
  3. The submitter can then find the comment under their Document>Workflow Status>expanding the Denied step
    1. Where comments are found by submitter
