Departmental Planning for Continuity of Instruction

Please note that the information below reflects steps to be taken in relation to your unit’s Continuity of Instruction Plan (COIP) and therefore is focused on only this one aspect of your operations. We will be following up with additional information regarding the College’s overall Continuity of Operations Plan (COOP), which addresses other aspects of our operations. 

We request that you complete the following steps as soon as possible and no later than March 20, 2020, in order to be prepared when classes recommence after spring break. A checklist reflecting these steps is attached.

  1. Create or convene your existing departmental Continuity of Instruction Team. This team would be tasked with guiding the department planning and rapid response to an event that interrupts instruction. Team members should be designated by the chair/director. They may include chair, associate chair, department administrator, multi-section course coordinators, advisors, IT staff, and curricular representatives. Those on the team should be familiar with staffing, course structures and curriculum, scheduling, IT and SIS. Members should have authority to make decisions in these areas. Given this, graduate students and short-term staff should not be part of the team. The chair is the department’s ultimate authority but can delegate decision making to team members. Such delegated decision-making should be clearly articulated and documented. 
  2. Complete and submit to L&S the attached “Continuity of Instruction Team: Contact Information & Procedures Form.” The form to be completed is attached. On the form, you will list the Continuity of Instruction Team membership and contact information as well as describe your processes for decision making and reporting, communicating with the College for seeking approval of extraordinary decisions, and a succession and backup plan for decision making. Please e-mail your completed to Maryellen Pawley, L&S Dean’s Office Assistant, at maryellen.pawley@wisc.edu, by Friday March 2020.
  3. Impress upon your faculty and instructional staff the need to keep grading records up to date and either entered into Canvas (preferred) or in another central repository where multiple personnel can get access to them on short notice. 
  4. Ensure that faculty or instructional staff are listed in a supervisory instructor role in SIS for all course/sections for which a graduate student is the instructor of record (either as a TA or LSA).
  5. Refer faculty and instructional staff to the College’s newly created web site “Teaching with Technology during a Disruptive Event.” The College has created this guide as part of its efforts to ensure that instruction continues after a disruptive event. While many instructors have an increasing command of teaching with technology, especially in Canvas, we hope the information provided will assist with the number of choices to be made, help bridge gaps in experience, and add a measure of needed support when it comes to using technology in support in instruction.   6. Develop or update your departmental plan for instructional coverage. Creating a strategy for covering instructional duties in case many instructors are not available to teach. Specific planning is difficult to do outside the context of the nature of a given event, but it may be helpful to think about the challenges of such an event and general strategies to continue instruction.
  7. Develop or update your department communication plan related to continuity of instruction. Plan now for how the department will quickly and reliably communicate with students and instructors about how instruction will continue during a disruptive event.
