Academic Planning Calendar Naming Conventions and Set-up

Generic information on setting up recurring events and naming conventions for the Academic Planning Calendar.

The Calendar can be found either through the Lumen Portal (it is its own widget, https://my.wisc.edu/Lumen/) (or on APIR's website (https://apir.wisc.edu/events/)

The Academic Planning Calendar was created to create better transparencies with deadlines and meeting dates across campus that relate to curricular and program governance actions, and Guide publications. The calendar will always include UAPC, GFEC, UCC, Guide, and Curricular Scheduling updates. If schools/colleges would like to include their school/college dates, please email APIR for inclusion in the calendar. When creating new items for the calendar they should follow a standard naming convention and set-up convention to provide clear sorting and searching abilities.

There isn't a way to be notified whenever there are updates to the calendar, but events can be exported and imported into your own calendar. For help exporting and importing events into your personal calendars, see this support page.

Academic Planning Councils/Committee Meetings

Each School and College has a Academic Planning approval group. Regardless of what it is called in the school/college, they will be classified as 'APC's. Anything within the description is either submitted by the school/college or is found on their website. Generally, these are set-up with a recurring time (event series).
  • Select the start date and time.
  • In the Event Series, select monthly. Then select the appropriate information. (Most will be Every '1'; On "a different day"; the [insert frequency])
  • If there are dates that do not line up, they can be edited in the series. They can also be removed if there is a month that doesn't have any meetings.
The standard title formula is: "APC [school/college shortened description][colon] [expanded committee/council name]"
Example: APC (SMPH): School of Medicine and Public Health Academic Planning Council

Anything that falls under this category will be tagged with "Academic Planning Committee/Council (APC)", whichever school/college it is, and Lumen Programs/Lumen Programs.

Curriculum Committee Meetings

Each School and College has some version of a curricular approval group. Regardless of what it is called in the school/college, they will be classified as 'CC's. Anything within the description is either submitted by the school/college or is found on their website. Generally, these are set-up with a recurring time (event series).

The standard title formula is: "CC [school/college shortened description][colon] [expanded committee/council name]"
Example: CC (ALS and L&S): Joint Curriculum Committee Meeting

Anything that falls under this category will be tagged with "Curriculum Committee (CC)", whichever school/college it is, and Lumen Programs/Lumen Programs.

Academic Planning Councils/Committee Materials Deadline

The standard title formula is: "APC [school/college shortened description][colon] Deadline for [meeting name] Agenda"
Example: APC (EDU): Deadline for September Programs Committee Agenda

Anything that falls under this category will be tagged with "Academic Planning Committee/Council (APC)", whichever school/college it is, Deadline, and Lumen Programs/Lumen Programs.

Guide Deadline

All dates relating to Guide deadlines or events will follow this formula: "Guide: [event]"
Example: Guide: Open Lab (L&S only) OR "Guide: Spring Mid-cycle Update Published"

Anything that falls under this category will be tagged with "Guide", Mid-cycle Update, Deadline, or June Publication. Lumen Programs may also be an appropriate category for Guide items.
