12twenty - Getting Started [UW-Madison]

This document provides information for students and staff on how to get started using 12twenty. For staff, the document outlines permission levels, required training and best practice resources for administrative staff users.

This document is intended to be a quick primer for 12twenty. It includes some considerations for staff as well as students, steps to help them get started using 12twenty, and how to get support.

12twenty is a survey administration tool primarily used by career services units to administer the First Destination Survey and the Workplace Experience Survey for UW-Madison students. The outcome data analytics (ODA) tool within 12twenty is used to collect and analyze data and deliver custom reports on career-related experiences and post-graduation plans of UW-Madison students. The main users of the 12twenty platform are career services professionals and DAPIR analysts, and undergraduate students.
   

Staff Considerations

The majority of staff users are career services professionals and DAPIR analysts. The system has different access/permissions levels, depending on staff members data access and usage needs.

Permission levels for administrative staff users include viewer roles, manager roles, and unit or school administrator roles. 

Level 1: Viewer Roles (Departmental Viewer or Career Services Viewer)

Level 1 roles are for career services or departmental staff members who only need the ability to view or access 12twenty reports and other custom reports or dashboards, as well as the Job IQ Explorer and Research Tools. This role is considered the entry-level provisioning role for all staff.

Level 2: Manager Roles (Departmental Manager or Career Services Manager)

Level 2 Roles are for career services or departmental staff members who need to view reports, dashboards, and the Job IQ Explorer and Research Tools, as well as the ability to view, add, and edit individual student outcomes. Staff are provisioned with access to only edit student outcomes for those within a specific school/college or major. This role requires additional training and is not automatically provisioned.

  • Pre-requisite Training: 
    • FERPA Training
    • Intro to 12twenty: Reporting & Research Tools (Level 1 Viewer Training)
  • Required Training to gain access: Approving & Adding Outcomes in 12twenty (Level 2 Manager Training)

Level 3: Unit Administrator Roles

Level 3 Roles are limited to a small number of career services staff within each school/college. These individuals have all of the privileges of a Manager Role, in addition to the ability to send bulk messages to students directly from the 12twenty platform. This role requires additional training and is not automatically provisioned. 

  • Pre-requisite Training:
    • Intro to 12twenty: Reporting & Research Tools (Level 1 Viewer Training) 
    • Approving & Adding Outcomes in 12twenty (Level 2 Manager Training)
  • Required Training to gain access: Bulk Emailing in 12twenty (Level 3 Unit Administrator Training)

Level 4: School Administrator Roles

Level 4 Roles are limited to only a few users within the Office of Academic and Career Success (OACS), Data, Academic Planning, and Institutional Research (DAPIR), and the Learn@UW team within DoIT. This role has the highest level of privileges, including all privileges of the Unit Administrator role, in addition to the ability to access site settings and manage user roles.

  • This role is assigned based on an individual’s role and cannot be requested.

Student Considerations

Students will almost exclusively access the tool via a survey link or QR code to complete the First Destination Survey or the Workplace Experience Survey. 

General Considerations

  • Visit the First Destination Survey page for more information on what the First Destination Survey is and a list of frequently asked questions.
  • Report an employment or experiential learning outcome using this guide from 12twenty 
  • Student survey responses are protected, and individual information will not be shared publicly. Completed survey responses are reported in the aggregate, which means the data has been combined and is presented in a summary form instead of individual responses. Aggregate data allows UW to better understand the career outcomes and experiences of all graduating students, as well as those within a specific school, college or major group.

How to Get Started With 12twenty

Steps for Staff

  1. Request a 12twenty administrative staff account:
    1. If approved, you will receive an email confirming your account with resources and next steps
  2. Register for training. 
    1. Training offered by OACS will be listed on the OACS event calendar. Training options include:
      1. Intro to 12twenty: Reporting & Research Tools (Level 1 Viewer Training)
      2. Approving & Adding Outcomes in 12twenty (Level 2 Manager Training)
      3. Bulk Emailing in 12twenty (Level 3 Unit Administrator Training)
    2. If no upcoming trainings are listed, email ilsa.may@wisc.edu for additional options
  3. After receiving access to 12twenty:
    1. Log into 12twenty using your UW-Madison NetID and password
    2. You will receive access to the Microsoft Teams ‘UW-Madison 12twenty Admins’ channel that is used for sharing updates, announcements, best practices, and general questions on using 12twenty

Steps for Students

  1. Students follow survey links delivered via email or log into 12twenty using your UW-Madison NetID and password at:
    1. First Destination Survey stable link: go.wisc.edu/gradplans 
    2. Workplace Experience Survey stable link: go.wisc.edu/workplace-experience
  2. Report an employment or experiential learning outcome using this guide from 12twenty

  • 12twenty is a career services tool centrally supported by the Learn@UW-Madison team. For technical support questions, students and staff should contact the DoIT Help Desk 
  • The DoIT Help Desk provides staff and students with free tech support and troubleshooting help by phone, email or chat.

Students are encouraged to email plans@provost.wisc.edu with questions or issues completing their First Destination or Workplace Experience Surveys.
