HelioCampus AC - Email Notifications for Course Evaluations [UW-Madison]

This document explains a condition which causes emails to be missing from some surveys' email queue managers.

Why are some emails missing from my email queue manager?

When an HelioCampus AC survey starts, the initial email and reminders are sent to all students. Students only receive 1 email for all surveys that start on the same day, and do not receive duplicate notifications for multiple surveys.

If multiple surveys are due on the same day, the student will only receive one email for surveys left to complete on that day. HelioCampus AC sends a generic email that says the student has evaluations left to complete. 

Some of these emails might not be shown under your HelioCampus AC survey’s Email Queue Manager tab. Please consider these conditions when viewing your Email Queue Manager:

  • If the student is in multiple course sections that use the same survey, they will only receive one email for each notification the survey sends. In other words: they will not receive duplicate emails if they are in multiple sections. Also if they have multiple surveys starting in different survey instances, they will only receive one notification.
  • If the student has other surveys which end the same day, they will receive a generic email. This notification will be in only one Email Queue Manager, not all.
