New Graduate Student Employee Checklist
Hello and welcome to the Math Department! This checklist is meant to assist you with the transition into our department. As indicated in the list, there are several items you can complete before you arrive to help expedite the payroll & benefits onboarding process. The sooner you can complete these items, the more prepared we will be for you when you begin your appointment.
Before you arrive:
- Complete Payment Elections (direct deposit) and W-4 elections online. Note: You will not have access to these until you accept your appointment contract in Workday and HR kicks off your onboarding tasks. Complete these tasks in Workday Onboarding (Awaiting your Action area of your home page):

- W-4
- Complete work authorization – You will see this step as part of your Workday Onboarding (Complete I-9), complete the online portion, then set up a meeting with Math-HR@math.wisc.edu to show your acceptable forms of ID.
- Sign up for eRefund through the Bursar’s Office for scholarships/awards: eRefund Instructions
- Explore your benefits options.
- Find benefits information here: Graduate Benefits
- Benefits Summary
- Attend a graduate benefits seminar (Link on Graduate Benefits page above)
- Select or waive benefits via the My Insurance Benefits (MIB) portal, also linked directly from your Workday home page.
- Fill out GLACIER (For international students)
- You will receive an e-mail from support@online-tax.net and uwhradministration@ohr.wisc.edu regarding your status in the United States. You will need to fill out this GLACIER information to be taxed correctly.
When you arrive:
- Get your WiscCard (149 Union South) https://wiscard.wisc.edu/
- You must wait one day after you register for classes
- Get your bus pass (333 East Campus Mall)
- Take your WiscCard with you
- Send all GLACIER forms to Suite 5101 at 21 N Park Street (For international students)
- Once you receive your Social Security Card, you MUST update your GLACIER account
- Setup a Bank Account (if needed)
- Bring your I-9 documents to Math-HR (218 Van Vleck Hall, Math-HR@math.wisc.edu )
- Enroll in Benefits, instructions are here: https://www.ohr.wisc.edu/ebenefits/quick-start.aspx
- Benefit enrollments must be completed within 30 days of hire
- Benefits portal will not open until 7 days before your appointment start date.
- After you enroll, you will receive an insurance enrollment confirmation email
- Register with ISS (International Student Services) at 701 Landgon Street (Pyle Center) (For international students)
- Bring all documents (I-20, I-94, Passport, Visa, Offer Letter)
- Register for the international student orientation
- Get your Social Security Number (If you don't have one yet, this is required to work in the U.S.)

- You must wait 10 days after entering into United States to go there
- Bring all documents (I-20, I-94, Passport, Visa, Offer Letter)
- Pay Segregated Fees (check MyWisc account for due date) and other applicable fees.
Note to International Students: Once you receive your Social Security Card in the mail, you MUST update your GLACIER account and stop at the Registrar’s office (333 East Campus Mall #10101) to provide your social security number.
All benefit enrollments must be completed within your first 30 days!
