Facilities-Student Recital Scheduling Policy

The recital schedule is limited. Plan ahead, schedule early. Availability is best early in the semester, so plan accordingly.

Student recitals are set for predetermined slots in Collins Recital Hall. Morphy Recital Hall is also available for student recitals, but does not have any technical capabilities beyond basic lighting. Lee/Kaufman Rehearsal Hall is available on a limited basis, but similarly does not offer any technical specs. Anyone expecting audio or video recordings of their recital should schedule it in Collins Recital Hall. Student recitals may not be scheduled in Mead Witter Foundation Concert Hall.

Step 1: Check the room availability and submit event requests here: https://uwmadison.ems.wisc.edu/

Step 2: Details about the recital (publicity, setup information, repertoire, etc.) should immediately be submitted using the event intake form here: https://go.wisc.edu/2034qz. Please be thorough in submitting this form. Do not submit the form twice; if changes are needed, send an email to facilities@music.wisc.edu. Space requests will NOT be approved until the intake form is submitted.

Step 3: Payment for elective, non-degree required recitals and related fees should be done at the time the recital is scheduled here: https://apps.music.wisc.edu/facilities/

(Payment for mandatory, degree-required recitals is charged as a course fee for MUS 499, 990, and 999)

Requests that do not complete the intake form with the room reservation will not be approved.

Recital Times (setup may begin one hour prior to listed start time)

  • Monday through Thursday: 7:30 to 9:00 PM
  • Friday: 4:30-6:00 and 7:30-9:00 PM
  • Saturday and Sunday: 11:30 to 1:00 PM, 2:30 to 4:00 PM, 5:30 to 7:00 PM, and 8:00 PM to 9:30 PM

Use the EMS event request form to submit a space request. Requests may NOT be submitted in person, by email, or by phone.

For required recitals, a space request may be submitted one month prior to the start of each semester. Elective recitals must be requested in the same semester as the requested date.

No undergraduate recitals are permitted in the two weeks prior to the end of exams each semester.

The time of the recital slot is the start time for the recital. If your recital is scheduled to begin at 7:30, you MUST be done with any sound-check and setup by 7:00, in time for the doors to open and audience to enter. You can still be arranging things on stage while the audience is entering, but you may not bar the audience from entering in a timely fashion in order to rehearse. If you selected video streaming or recording, you must arrive one hour before your recital starts for a sound check.

One dress rehearsal in the venue is permitted for each recital. Dress rehearsals scheduled in advance must take place outside the recital performance slot times. Dress rehearsals will not include any video or audio support unless specifically arranged in advance, subject to crew availability.

Rescheduling and cancellations must be sent to facilities@music.wisc.edu AND ebmurtaugh@wisc.edu at least two weeks prior to the event. Cancellations received later than two weeks prior to the event result in forfeit of the recital fee. Postponing a recital less than 72 hours before the scheduled date or scheduled dress rehearsal date will incur an additional recital fee.

There is no private space for a reception in Hamel Music Center. Short receptions may be held in the upper lobby area for a maximum of 30 minutes post-performance with the understanding that the space is inherently open to the public. All cleanup from any reception is the responsibility of those whose recital is scheduled; spaces must be returned to their original condition. A custodial fee may be assessed to any user who did not fully clean and reset the space following their reception. Alcohol may not be served. Please notify the Music Operations Manager (musicoperations@music.wisc.edu) if you intend to have a reception.

Technical capabilities for student recitals in Collins Recital Hall (Morphy Recital Hall only offers space and lighting)

Student recitals may take advantage of one or two microphones for audio. Computer inputs for audio and video are possible with an HDMI input. Stereo miniplug auxiliary input is also available for audio playback. No other audio support is included or available.

Special requirements for DMA lecture recitals must be communicated on the intake form with all details.

Jazz recitals may use standard audio the same as provided for jazz ensemble events - three microphones, two monitors, aux input, and amplified instrument inputs if needed. ALL performers must be present for sound check one hour prior to start time.

Standard lighting is available for recitals, consisting of basic stage and house lights up and down.

ALL technical needs must be indicated on the intake form linked above when the recital is scheduled. Changes can be communicated by email to musicoperations@music.wisc.edu at least three weeks prior to performance date. Requests made without advance notice WILL NOT be allowed.
