Advancement Event Support Guidelines

This article provides information on when and how Nelson research centers and programs can receive event support from the Advancement Office.

The Advancement Office staff is always available for an event consultation and encourages all Nelson Institute  faculty and staff planning an event to reach out to us. An event consultation includes strategically mapping out how to execute the event, but not necessarily having us carry out the tasks.

Types of events the Advancement Office can provide support for (if bandwidth allows):

  • Event that has a donor/fundraising component (e.g. celebrating/recognizing a major donor)
  • Event that is at the request of the Dean
  • Event that celebrates a major Nelson milestone/anniversary (e.g. EPP@10, WRM@60)
  • Large scale (anticipated audience 50+), public-facing educational events
  • Events where at least 50% of anticipated audience is general public, alumni, or donors

Guidelines for Advancement Office support:

  • Event support will only be provided to events where the primary event host is a Nelson Institute research center or program.
  • Event support requests must be submitted 3 months prior to the event date--the earlier the better!  Support requests can be submitted through our event support request form. Consultation requests do not require a form submission. 
  • Advancement staff will review your request and will decide on what support we can provide based on office bandwidth.
  • Events planned for October and April are unlikely to receive support due to a high volume of regularly scheduled Advancement Office events.

Types of support that can be requested for an event:

  • Connecting with the Strategic Communications Team for marketing support
  • Managing registration/attendees (if a more complex system is needed)
  • Being point of contact for attendees/communication management
  • Placing catering orders
  • Booking venue/meeting spaces
  • Being point of contact for catering/venue
  • Speaker management
  • Ordering parking passes
  • Nametag creation
