What to do now - purge, pack, and prep
Take it home
Any personal items should be taken home. The movers will not move personal property or cover the cost of replacing it if it’s damaged during the move. You can always bring it back once you’re in your new office.
Send it to SWAP
Any UW property that is not moving to Computer Science, must be offered to UW SWAP. Simply put a post-it with “SWAP” on the item, and Nelson will coordinate with SWAP for their review. Some items may not be eligible for SWAP handling. SWAP’s Material Acceptance Guidelines can be found at https://go.wisc.edu/daka11.
Purge
We will have custodial tip carts in the grad lounge (room 15) for recycling, donation, disposal. Computer Science offices are smaller with less storage.
Electronic devices: Do you have university-owned electronic devices that you wish to purge as you prepare for the Science Hall move? GNP IT has agreed to help with this process if needed, and can take devices and process them to SWAP for auction or e-cycle. We have set up a dropoff point outside of the Hartshorne Conference Room (SH 280C) for you to drop off devices, or you can contact GNP IT (gnp-helpdesk@wisc.edu) to discuss arrangements.
Please note, this opportunity is for Science Hall department faculty and staff only. Devices from other departments and student devices are not eligible. Also, only university-owned devices are eligible for this opportunity. Personally owned items are not eligible for SWAP handling.
Any data must be wiped before dropoff. GNP IT and SWAP are not responsible for erasing data from your device.
Pack
Using the packing materials provided in room 40, pack all the approved items (see below) that are moving. If UW art installed in your office is to be moved, do not pack it yourself; let Kate Wodyn know. She will coordinate with Jenna to have Physical Plant remove and relocate it. The movers will not remove anything from the walls. Disconnect and pack your workstations (contact Tino’s team gnp-helpdesk@wisc.edu, if you need assistance) and put in provided clear keyboard bags. All items must packed and properly labeled with your new office # in Computer Sciences. (See Jenna for your room number)

How to Label and Box Items
Boxes, supplies, and labels from Coakley (the UW-contracted moving company) are available in Room 40 Science Hall. Contact Jenna for your room assignment in Comp Sci.
Minimum Labeling Requirements
- Label everything that UW is moving with a Coakley label
- Write your new office room number on the label

How to Label Various Items
Technology & Accessories
- Monitors: Label on the base or lower back.
- Monitor Arms: Detach and label.
- VOIP Phone: If it fits, pack it in the keyboard bag. If not add a label and place with your computer keyboard bag.
- Keyboard Bags: Include cords, mouse, keyboard, etc. Label the bag clearly. Place by your monitors.
File Cabinets
- Label the front
Boxes & Packing
- Boxes: Label on the short end for visibility (Not the top/bottom OR long side).
- Misc. Small Office Items: Pens, paperclips, etc. should be placed in a plastic bag before packing.
- Chairs: label on a flat surface – not fabric
IT Equipment/VOIP Phones etc.
- Leave labeled computer equipment/phone/keyboard bag etc. on your desk.
Wall Hangings/Artwork
- Work with Kate Wodyn to schedule removal of wall items pre-move
- If moving, label with the destination location.
Shared / Common Area Items
- Common Area Items: shared supplies, etc., should be labeled with destination. Decide who will label these items and who will be packing them.
