Nelson Institute/Science Hall Meeting Room Scheduling and Use

Procedures for reserving and using Nelson Institute meeting and conference rooms in Science Hall.

The Nelson Institute meeting rooms available to reserve in Science Hall are:

122G Small conference room, located within the Nelson Dean's Office Suite.  It can accommodate a maximum of 6 people comfortably.  Set up with a large TV monitor for zoom meetings. 140 Large conference room with movable tables and chairs. In its traditional configuration, 14 people may be seated around the table and 16 additional people can be accommodated in chairs around the perimeter.  This room boasts a sophisticated Cisco Telepresence System, a phone and a full wall of whiteboards.

How to request a room reservation through Outlook Calendar:

  1. Click on New Event (in Web version) or New Appointment or Meeting (in Desktop app). Fill in your information for title of meeting, date, time, etc. You can also invite attendees. 
  2. In the "Search for a room or location" box (in Web version) or Location box (in Desktop app), start typing in "Nelson" and a drop-down list of suggested locations will appear. If your desired room does not appear, you may have to type in more of the name (see above) in order for it to appear in the drop-down list. The drop-down list should indicate if your desired room is available or not. Choose the room you would like and send the request.
  3. The request will go to the designated contact for that room for approval/denial. You will be notified via email if your request is accepted or denied. Denials will happen if the room is not available or a priority request has been received. Priority requests are in the following order: Nelson Institute Dean's Office, Academic Programs Office, Advancement/Alumni Relations Office, Administration/Business Services Office, Strategic Communications Office, Water Resources Management, Environmental Professional Programs Office.

Alternatively, if you are unable to reserve the room through Outlook, send an email with your request to the designated contact for that room (see above). 

Responsibilities of those reserving and using rooms:

  • If you need a room unlocked (70, 122G, 140, and 280D are always locked.  Room 15 is locked after hours), check out a key from the Administrative Services Office (room 40) the day of your event and return it no later than the following day.
  • Leave the room as clean as you found it. Wipe down tables after use and vacuum any mess on the floor. Cleaning supplies and a vacuum are in the Room 15 kitchen. Empty any full garbage bins in the dumpster in the parking lot behind Science Hall. Inform Nelson Institute staff of any spills, stains, or tears in the furniture or carpet.
  • Clearly label any food put in the Room 15 and 110A refrigerators with name and date.
  • Do not use the room for storage. Anything left behind is subject to disposal.
  • Failure to adhere to these responsibilities may result in being denied room use in the future.
