As of June 12, 2025, the process for granting NetID access to Google Workspace using a service account has changed. This update was designed to streamline account management and improve clarity for administrators.
Audience: Domain administrator and authorized administrator.
Previous Process (Before June 12, 2025):
Previously, domain administrators and authorized administrators could give a user access to both Microsoft 365 (M365) and Google Workspace by linking the user's NetID to one account - an M365 service account. This method is no longer available and access is now granular.
Example:
Service | User | Linking Required | Service account linked | Access to services |
Microsoft 365 | NetID | Yes | NetID linked | Yes - NetID can access Microsoft 365 and Google Workspace via service account |
Google Workspace | N/A | N/A | N/A | N/A |
New Process (Effective June 12, 2025):
The process for granting a NetID access to services via a M365 service account is now granular. Access to services such as Microsoft 365 and Google Workspace are now independent. Domain admins and authorized admins will need to perform an extra step to grant a NetID access to Google Workspace via service account.
Example:
Service | User | Linking Required | Service account | Access to services |
Microsoft 365 | NetID | Yes | NetID linked | Yes - NetID can access M365 via service account |
Google Workspace | NetID | Yes | NetID not linked | No - NetID cannot access Google Workspace via service account |
