Office 365 (iOS 7) - Invite an Attendee

This document contains instructions on using a non-Microsoft email client, such as Apple Mail or Thunderbird. Microsoft does not recommend these clients for use with Office 365, and there are often significant limitations in client functionality as a result.

Because of this, the DoIT Help Desk is only able to offer best effort support for these clients, and certain issues may require the use of a Microsoft client in order to be resolved. The following document explains how to invite an attendee to a meeting using the iOS Calendar app (iPhone, iPad, or iPod Touch).

Important: It is recommended that you perform this action using Outlook on the web. The information below is based on Microsoft's recommended use of mobile devices when it comes to interacting with calendars. For best results, Microsoft recommends that people who schedule events with one another use the same calendar client. The majority of calendaring issues involve events with attendees, which may not get updated correctly if the organizer or any of the attendees take action on the meeting via a mobile device. iPhone Calendar allows you to invite to meetings anyone listed in one of your Contacts Address List as well as individuals it can search for in an ldap account. Thus if you have an ldap account set up for the Universtify White Pages (Campus Directory) iPhone Calendar will search it as well as your iPhone Contacts. If you will be using your iPhone to invite UW people to meetings we highly recommend that you set up a White Pages (Campus Directory) account for iPhone Calendar use (see this KnowledgeBase document for instructions).

Note that if you attempt to invite a UW person using the email address you have for them in your current Contacts and if the email address is not the correct email address shown by the White Pages (Campus Directory) it is possible that the meeting invitation iPhone Calendar sends will go to a calendar the person does not use and thus they may never know of it. We do not recommend that you invite UW people except by the steps we outline below.

  • If the calendar you have set as the default calendar does not allow meeting invitations, the Invitees section will not display. In this case change the Calendar to one that will allow Invitees (e.g., the account for WiscCal).

  • To invite someone to a meeting:

    1. Create a new event or edit an existing event. In the Edit display scroll if necessary to show the Invitees section and tap on it.

    2. In the Add Invitees display, tap on the (+) at the top-right of the display.

    3. Tap on Groups at the top-left of the display.

    4. Tap on the entry in this list for the White Pages (Campus Directory) you have previously added.

    5. Enter your search terms (e.g., a UW NetID, FirstName/LastName, etc.) and iPhone Calendar will query the White Pages (Campus Directory).

    6. Tap on a match and iPhone Calendar will add it to the Invitees list.

    7. To delete an attendee, backspace over the entry.

    8. Tap the red Edit button in the top-left corner to return to the Edit display. The Invitees section will show the number of invitees to the meeting.

    9. Tap the red Done button to continue and return to the main display.
