Microsoft 365 - Calendar Invitations Received by an Account that is Forwarded

This document explains the behavior when an invitation is received by an account that is set to forward to another account.

Within Outlook on the web, there is an option to keep a copy of the message in your account when setting the forward. This option will impact the way invitations are processed. To verify if your account is being forwarded, or to set up a forward, please see Microsoft 365 - Set/Manage a Forward on a NetID or Service Account.

Forwarding to an account within Office 365 (i.e., another Wisc account)

  • Do not keep a copy of forwarded messages in Outlook on the web

    The invitation will end up in the forwarded account. The events cannot be accepted or declined from the original account, as the invitation does not exist there. The action taken on that invitation will be returned to the organizer of the event. The event will now include an additional attendee (the account that took action on the event) with their response, but will continue to show the original attendee as not having responded.

  • Keep a copy of forwarded messages in Outlook on the web

    Both accounts will receive the invite. The events can be accepted or declined from either account. Any action taken on those invitations will be returned to the organizer and the attendee information will be updated to reflect those responses. The event will include an additional attendee if both accounts reply, one for the original account, and one for the account that gets forwarded to. If just the original account replies, an additional attendee will not be added. If just the account that is forwarded to replies, an additional attendee will be added and the original attendee will appear as not having responded.

Forwarding to an account outside of Office 365 (e.g., Gmail)

Note: If you are a heavy calendar user, forwarding outside of Office 365 is not recommended. When an event is forwarded outside of Office 365, the external system (such as Gmail) does not recognize who the organizer is. Any action taken by the external system user will not be reflected back to the organizer's original invitation.

  • Do not keep a copy of forwarded messages in Outlook on the web

    The invitation will end up in the forwarded account. The events cannot be accepted or declined from the original account, as the invitation does not exist there. Regardless of the action taken on the event from the external system, the event organizer will not receive a notification, and their attendee status will remain unchanged.

  • Keep a copy of forwarded messages in Outlook on the web

    Both accounts will receive the invite. If the event is not acted on by the original account, the event organizer will not receive a notification, and their attendee status will remain unchanged. If the original account replies, a notification will be sent to the organizer and the response will be updated in the event. Regardless of the action taken on the event from the external system, the event organizer will not receive a notification, and their attendee status will remain unchanged.
