Office 365 (Outlook 2016 for Mac) - Send mail using your alternate address

There may be times where you need to send email using an alternate address.

Important: These instructions assume you have already configured Outlook 2016 for Mac to your Office 365 account.

Verify you have an alternate address

  1. Log in to the Wisc Account Administration site with your NetID credentials.

  2. Select the account you want to manage. . If you do not see the account you want to manage or are placed into your NetID account, review the following document: Wisc Account Administration site - Logging in.

  3. Expand Office 365 menu.

  4. Click Status.

  5. You will be presented with the following screen:

    Alternate Addresses
    At a minimum, it will include your primary address. Any additional addresses listed will also be able to receive mail and calendar invitations.

Important: If you do not have any alternate addresses (in addition to your primary address), then you must create an alternate address before you can send a message using your alternate address.

Configure your alternate address

Important: These steps outline the only known method to send messages from an alternate email addresses in Outlook 2016 for Mac. To do so, you will need to configure an additional account for each alternate address you'd like to send from. The additional account(s) will have the same folders and messages as your primary Outlook 2016 for Mac account - the main difference is that it will be configured to use the alternate address. Each account will be listed in Outlook, and every time it checks for new mail the same new messages will be found and delivered for the Exchange account as well as any alternate accounts. These issues are cosmetic and should not impact your Outlook experience.

  1. Launch Outlook 2016 for Mac.

  2. Open the Outlook menu and select preferences.

  3. Click the Accounts icon from the Outlook Preferences window.

  4. Select the plus icon to create a new account and select E-mail...

  5. For E-mail address, enter the full alternate email address you would like to be able to send from. For this example, "" is the primary address, and "" is an alternate address for the same account.

  6. Clicking the text box next to Password will expand the form. You should see the following:

    Enter the following information on this page:

    • Password: Enter your Office 365 password.

    • User name: Enter the Username you use to login to Office 365.

    • Type: This should be set to IMAP.

    • Incoming Server: Enter, and check the box labelled Use SSL to connect (recommended)

    • Outgoing Server: Enter, and check the boxes labelled Override default port and Use SSL to connect (recommended)

    • Outgoing Server Port: This unlabelled box is to the right of the Outgoing server. Delete 25 and replace with 587.

    • Click Add Account

  7. This will return you to the Accounts list. Confirm that your alternate address account is selected. You can now enter the Account description- in this example, we use "Office 365 Alternate."

  8. Click More Options....

  9. For Authentication, select User Name and Password. Enter your Office 365 login credentials here.

  12. Since the newly added account is just an alternate address for the same Office 365 mailbox, your folders for both of these accounts will remain identical. To minimize resources used by Outlook when checking for new mail, click Advanced... to change additional settings:

    1. Click the Server tab

    2. Check Download headers only

    3. Uncheck Except in Inbox

    4. Uncheck Sync all IMAP folders every 2 minutes

    5. Uncheck Use IMAP IDLE if the server supports it

    6. Click OK.

You are now ready to use this alternate address as your "FROM" address when sending emails.

Send a message using your alternate address

  1. Before sending a message, click the From drop-down box and select your alternate address from the list.

  2. When you are ready, click the Send button. When the recipient receives this message, the "From" and "Reply-to" addresses will be the alternate address.

Note: You will now see separate accounts listed for your primary and alternate email addresses, and each account will have the same folders and messages. There is no way to completely hide the alternate account or stop it from checking for new mail, but this should not impact your Outlook experience. Click the small down-arrow next to your alternate account so your folders are only listed once:
