Onboarding Checklist - Supervisors - All New Employees - First Day

The Supervisor of a new employee should complete a set of tasks on the new employee's first day of employment as part of their onboarding experience.
  • There will be differences in how some of these tasks are executed based on the location of the workspace (e.g. who is the trained GIS employee). It is up to the discretion of the supervisor to determine how best to work through these tasks.

Required Tasks

Welcome New Employee to Work Unit

Applicable To

All new employees

Background

  • Supervisors should greet their new employee on their first day and welcome them to the unit.

Instructions

  • Greet new employee on their first day and welcome them to the unit
  • Distribute and/or review the new employee's first day schedule.

I-9 Employment Verification

Applicable To

All new employees

Background

  • Newly hired employees must complete their I-9 Section 1 no later than their first day of employment.
  • Newly hired employees must present acceptable documents for review and verification within 3 business days of their first day of employment. 
  • I-9 Review & Verification must be completed by a trained GIS employee within 3 business days of an employee's first day of employment.
  • The new employee's Payroll & Benefits Coordinator will send them I-9 information and instructions, including their trained GIS employee, prior to their first day of employment. 

Instructions

  • If you are a trained GIS employee, review the acceptable documents brought by the new employee and complete the electronic I-9.
  • If you are not a trained GIS employee, verify:
    • The new employee completes their electronic I-9 before working.
    • The new employee will meet with a trained GIS employee within the first 3 business days of their employment, and present acceptable documents.

First Day Meeting with Supervisor

Applicable To

All new employees

Background

  • Under UW-Madison Onboarding Policy New Employee Onboarding, each new hire will have a scheduled meeting (preferably face-to-face) with their direct supervisor (or appropriate designee) on their first day of employment.

Instructions

Meet with the new employee on their first day. Be sure the conversation includes the following:
  • Overview of Division of Extension, including, but not limited to:
  • Visit employee workspace and assist them with any required setup (initial login, etc.)
  • Review first day and first week schedules for new employees
  • Review of onboarding tasks and activities
  • Review position description and job responsibilities
  • Discuss any initial expectations and timelines
  • Review questions regarding benefits
  • Tour workspace and begin developing relationships with new office colleagues
  • Review calendar for existing calendar commitments
  • Review the Division of Extension's Criteria for Success & Workplace Expectations
  • Discuss work hours, lunch, breaks and overtime policy/procedure (if applicable)
  • Discuss expectations regarding requesting leave
  • Discuss your schedule for the week and best time/manner to reach you

Verify Completion of Required Pre-Arrival and First Day Tasks

All new employees

Background

  • All new employees will have one or more first day task lists to work through with required and recommended tasks.

Instructions

  • Verify that new employee has or will complete (or receives the assistance they need to complete) all required pre-arrival and first day tasks.
