How to Send Faxes in Outlook 365

Overview 

 

The UW has retired physical fax machines, and switched over to a virtual faxing service called CloudFax. 

 

Note:  You must first enable CloudFax before you can use it to send faxes; this is a one-time step.  See the document How to Enable CloudFax Sending in Outlook 365 for more information. 

 

To send faxes, you compose an email and then send it to a vendor – Concord Technologies.  Their software converts your email over to fax format and sends it on to its destination.  

 

  1. 1. Login to Office 365. 

  1. 2. For faxes sent inside North America:  
         Enter the Country Code ("1"), the area code, and the seven digit fax number followed by the @concordsend.com domain. 

Example: To send a fax to 608-xxx-xxxx, you'll want to enter the following in the To: field 1608xxxxxx@concordsend.com. 

  1. 3. For faxes sent outside North America: 
         Enter the international access code, 011, the country code, and the the remaining fax number followed by the @concordsend.com domain. 

Example: To send a fax to +551139580961, you'll want to enter the following in the To: field  011551139580961@concordsend.com. 

  1. 4. The body of the message will become the fax cover sheet.  

  1. 5. Send the message. 

  1. 6. You will receive two messages from Concordsend.com with these subject lines: 
    First message: QUEUED SUCCESSFULLY: Your fax to [faxnumber] has been successfully queued to be sent. 

  1. Second message:  SUCCESS: Your [number of pages] page fax has been successfully delivered to [faxnumber]. 


Notes: 

  • the “Regarding” line has been pulled from the subject line of the original email 
  • The recipient cannot reply to the email 
  • Important Note:  Be careful what you put in the body of the message; make sure to check any prior messages at the bottom of the page and delete anything you would not want read by people other than the fax recipient.
