Learn@UW (UW-Madison Only) - How to Email Students Using Classlist Tool

Within a Learn@UW course, instructors can email selected students from within the Classlist tool.


NOTE: This process is not recommended for timetable courses, as by default, students will see all of their peers' e-mail addresses and the sender will not receive a record of the sent message. Instead, for timetable courses, it is recommended that instructors use the Classlist Utility for classwide e-mail purposes.


To email all students using the Learn@UW Classlist tool:

1. Access your Learn@UW course. Then, in the course navbar, select Communication > Classlist.

2. Click on the button, on the line below the Classlist title, called Email Classlist.

3. Click on the blue button that says Send Email.

4. Enter a subject and message text. You can also add anything or attach anything to the e-mail that you can to an activity in D2L using the same html editor and "insert stuff" button.

5. To send the message, click the blue Send button in the upper left of the page.

NOTE: If you receive an error that says "Not Authorized" while attempting to send, please read and follow this information:

The issue can be resolved by clicking on the Mail icon in the minibar. There you will see a message like: "You must complete the following quizzes for alerts to be enabled: Quiz Name Here" The quiz name is a link to a Quiz that has "Disable pagers and alerts" selected. The instructor likely is enrolled as a student in a course where they started a quiz but did not submit it. The instructor has to submit that quiz attempt to access mail again.

To email select students using the Learn@UW Classlist tool:

1. Access your Learn@UW course. Then, in the course navbar, select Communication > Classlist.

2. Select the checkbox next to each student you want to email, then select the Email option. A separate window will pop up in which you can write the message to be sent.

3. Enter a subject and message text. You can also add anything or attach anything to the e-mail that you can to an activity in D2L using the same html editor and "insert stuff" button.

4. To send the message, click the Send button.

NOTE: This message will not show in your email program's "Sent" mailbox. No sent Learn@UW emails are kept. It's a good idea to CC yourself on emails you send from Learn@UW.
