ShareURL - How to View a Free/Busy Calendar in Outlook 2016 / 2013 for Windows

This document describes how to configure Outlook to interact with a free/busy ShareURL.

Important: You will need the free/busy ShareURL of the user who you want to interact with. If you do not have this url, please ask them to provide you with this link. They can use these instructions.

How to Set the Free/Busy Search Path for a Specific Contact

  1. Start Outlook.

  2. In the Contacts folder, double-click to open a Contact.

  3. Within the 'Contacts' tab, click the Details button.

  4. Under the text that reads Internet Free-Busy, in the Address box, type the fully qualified path (this is the free/busy ShareURL) to the location that you want to search for this Contact's free/busy information and save the changes.

    Important: This contact must have an email address associated with it. Otherwise, the appointment request will not be sent.

How to create a meeting/appointment with this user

  1. Open New Appointment window

  2. Click 'Invite Attendees'

  3. Click "To"

  4. Select the appropriate Address Book for the user/contact and add them to the invitation list.

  5. Click Scheduling Assistant button and verify the availability of the user, change the time if needed

  6. Click "Appointment" and complete rest of desired fields and "Send" invitation.

Note: Outlook publishes and retrieves free/busy information every 15 minutes by default. You can manually override this time increment by pointing to Send And Receive on the Tools menu, and then clicking Free/Busy Information. This updates the free/busy information immediately.
