KB User's Guide - Stats Tab

The Stats tab gives a quick overview of vital statistics related to KnowledgeBase (KB) documents and news items.

    Overview

    Document page views include documents viewed directly and are also included when included in other documents. The links on the left navigation column itemizes document counts for all KB groups:

    • by document status
    • by document creation, modification and revision, all of which are sortable by a time range you specify
    • by document view totals divided by month and sortable by internal and/or external site
    • by document views that occurred this week listed by internal or external site
    • by document views that occurred last week listed by internal or external site
    Links on the left navigation bar also allow you to see stats for your KB site:
    • document views by topic displayed by month and sortable by internal/ or external
    • document views by user displayed by title and sortable by Document IDs, User, IP Address and Date range.
    • document views by document displayed by month and sortable by internal/ or external
    • document by helpfulness rating displayed by month and sortable by topic
    • document by owner and sortable by document status

    In addition, the Stats tab allows you to look up the most and least helpful documents. Document ratings are purely based on customer feedback. Please remember not all KB users have access to view your document stats.

    Click on any of the column headers to sort by that column. Clicking the column header toggles between ascending and descending sort.

    The Save .CSV button exports the displayed data to a comma separated values (*.csv) text file.

    Doc Counts (All Groups)

    This link shows the number of documents in each KB Group. It also lists how many documents are in Active, InReview, InProgress, or Inactive status, in addition to the (sortable) GroupTotal of documents and finally, the % of KB.

    Doc Upkeep Activity (All Groups)

    This link shows the number of documents in each KB Group that have been created, updated, or reviewed in the selected time period. It also lists the average age of the documents in each KB Group. The time period can be adjusted and only documents created, updated, or reviewed in the selected time range will be counted.

    Doc Views (Monthly) (All Groups)

    This link shows the number of times a document was viewed in each KB group by month for a calendar year. If both internal and external sites exist the counts can be displayed for either internal, external, or both by selecting the appropriate choice from the dropdown menu.

    Doc Views (This Wk) (All Groups)

    This link shows the number of times document was viewed during the current week. It lists the number of internal and external views as well as the total number of views (Group) and the percentage of total views.

    Doc Views (Last Wk) (All Groups)

    This link shows the number times a document was viewed during the past week. It lists the number of internal and external views as well as the total number of views (Group) and the percentage of total views.

    Doc Views by Topic

    This link shows the number of times a document was viewed each topic in a given KB group has gotten. Only topics for the currently selected group are listed. If both internal and external sites exist the counts can be displayed for either internal, external, or both by selecting the appropriate choice from the dropdown menu.

    Doc Views by Doc

    This link shows the number of times each individual document in a given KB group was viewed. Only documents for the currently selected KB Group are listed. If both internal and external sites exist the counts can be displayed for either internal, external, or both by selecting the appropriate choice from the dropdown menu.

    Doc Views by User

    This link shows the number of times an individual user has viewed a document or set of documents in a specific date range. Only users from the currently selected KB Group are listed. Individual IP addresses or an IP address range can be viewed. The page limit can be extended to 2000 and be exported as a .CSV file.     Docs by Helpfulness

    The counts listed on this report are based on customer feedback. At the bottom of each KB document is the question, "Did this document help you?"

    This link shows the number of times customers have answered that question. Counts are broken out for each document by month for a selected year. Results are for all docs with Helpfulness data for the selected KB Group.

    Docs by Owner

    This link shows the number of documents a person owns in the selected KB Group. Counts can be listed for any of the document statuses in the dropdown list.

    News Views (Mnthly) (All Groups)

    This link shows the number of times a news item was viewed in each KB group by month for a calendar year. If both internal and external sites exist the counts can be displayed for either internal, external, or both by selecting the appropriate choice from the dropdown menu.

    Views by News Items

    This link shows the number of times each individual news item in a given KB group has was viewed. Only news items for the currently selected KB Group are listed. If both internal and external sites exist the counts can be displayed for either internal, external, or both by selecting the appropriate choice from the dropdown menu.

    Search Log

    The Search Log link allows administrators to browse through customer searches. The Search Log records both successful searches (represented in green text) and failed searches (represented in red text). Analyzing failed customer searches may help you identify the need to create new documents or revise existing documents. Additionally, these Failed Searches logs may help identify the need for new or expanded keywords.

    You many query the search log entries by group, age, site and several other options. Due to the high volume of customer searches, the table that stores the search log is flushed every six month.

    Internal site failed searches include the NetID of the user. This is done for follow-up and coaching purposes.

    Top Searches

    The Top Searches link defaults to displaying the top 25 top keyword searches. You can further narrow your search by adjusting the dropdown filters on the top of the page. Sort by Type; failed and/or successful. Sort by Site: Internal and/or External. Sort by year, present year or as far back as 2010. Finally, sort by Limit:  anywhere from Top 10 to Top 100.  Save your findings in a *.csv document, of you wish.

    Synonyms

    The Synonyms link allows administrators to view synonyms currently in use, whether single word or multi-word/ phrase synonyms. Upon clicking on the Stats tab > Synonyms link, you will be presented with a screen called Common Synonyms. This will help when defining keywords for documents. Synonyms can be used for commonly misspelled words or alternate spellings of common terms.  The synonyms table also contains a list of noise words that are ignored. You can search for Synonyms using the Find field.  You can select by specific Institution or by All Synonyms. You can adjust the page limit to display synonyms. Finally, you may save your search as a .CSV file for export. Contact kb-team @ lists.wisc.edu to request additional synonyms.
