Professionalism guidelines for undergraduates at the Center for Healthy Minds

Intro

We work in research facilities that must maintain a professional environment. CHM is a high-profile, high-visibility space. Study participants, prominent visitors, film crews, and reporters frequently visit our facilities. The reputation of CHM and UW-Madison is dependent upon everybody. It is essential to respect the following guidelines while in the workplace:  

Behavior

Communication with Your Supervisor

Your communication with your supervisor may affect your final grade.
•    Check your wisc.edu at least 3 times a week.
•    Respond to your supervisor's emails within 48 hours.

Kennedy Building

The Kennedy Building has many shared spaces, including kitchens, conference rooms, touchdown points (shared desks), and community computers. Respect for our space is respect for our community.

  • Be considerate when using shared spaces and items.
  • Be mindful of your volume (Kennedy is an open-format office).
  • Clean up after yourself (trash, dishes, spills, etc.).
    • The building janitorial staff does not clean the kitchens, so to ensure that the kitchens stay clean and organized for everyone, please tidy up after yourself and wash and put away all your dishes.
  • Reserve meeting rooms and parking spaces via Yarooms.
  • Thanks to Dr. Davidson's generosity, the 1st floor kitchen has a superautomatic espresso/coffee maker. If you need help using the machine, please ask someone for help.
  • The 1st and 2nd floor kitchens have countertop water boilers and  a "tea co-op" with various kinds of tea. Take some and leave some so there is variety for all to enjoy.
  • Trash, Recycle, Compost: Trash and recycling bins can be found throughout the building and are emptied twice weekly by the Kennedy janitorial staff. Due to the size of our community, there are not waste bins at individual desks. You’re welcome to set up a personal waste bin at your desk, but please keep in mind that you will be responsible for emptying it into the larger community bins. Our community also composts, thanks to Brendon Panke. Compost bins can be found on both floors, under the kitchen sinks.

Building Access

Due to health, safety, and privacy precautions, CHM buildings are locked at all times. If your supervisor would like you to have a key fob, they will request one for you from our operations manager.

Working with Participants

If you are interacting with research participants or others from outside the lab, part of your job is to make those individuals feel as comfortable as possible. You can help to accomplish this by acting professionally. When in the presence of a participant:

  • The well-being of our participants is a higher priority than our need to collect data
  • Arrive sufficiently before scheduled sessions to ensure that all study prep or set-up occurs before the participant's arrival.
    • The participant may arrive early. Plan for this possibility, and be ready for them early. Arriving after the subject has arrived is not acceptable under any circumstance.
  • Avoid drawing undue attention to mistakes that you or your colleagues may have made.
  • Do not comment on a participant's data unless necessary.
  • Do not comment negatively about the participant even if you think they can’t hear you.
  • Avoid personal conversations with your co-workers.
  • Do not use your cell phone! Keep it on silent (or off) in your bag.
  • Don’t use language, make jokes, or discuss topics that would be generally considered offensive or unprofessional. If you are about to say something and have any doubt about it being inappropriate or offensive, don't say it.
  • Learn study procedures sufficiently well to perform them accurately and confidently.
  • When working in the shared spaces at Kennedy (625 West Washington Avenue), please use quiet voices and be respectful of those working around you.

Inappropriate interactions with research participants can negatively impact the quality and rigor of our research.  As a consequence, inappropriate behavior with visitors, participants or at lab visits may be grounds for dismissal.

Dress Code

You are the face of our labs/office. You may interact with study participants, parents, donors, visitors, members of the media, etc, and this dress code helps convey that we are a professional organization.

The following guidelines are meant to be general in nature. Please talk to your supervisor if you are unsure whether something would be appropriate to wear.

  • Our dress code is "business casual"/"casual."
  • Jeans and shorts may be fine, but should not be tattered or torn
  • Please refrain from wearing clothes worn typically in workouts, outdoor activities or recreation ventures such as sweat suits. Clothing that is typically worn to the gym or the beach might not be appropriate. 
  • Clothing and shoes should be clean and in good condition.
  • Best practice is to wear close-toed shoes in labs or working with research participants.
