General Description

Employee Leave of Absence (LOA) can be Paid or Unpaid, Full time or Part time. There are many different and specific reasons, rights, and processes to Leave of Absence. This user procedure will go through the basic steps of how to put an employee on a Full Time Leave of Absence without getting into the specifics of the many different reasons of LOA.

Process Considerations

There are several types of LOA.

Entering an additional LOA for Employee currently on Short Work Break

**When entering a future dated full LOA (without pay) beginning at the start of the Academic Year for an employee who is currently on Short Work Break YOU MUST manually enter the Return from Short Work Break row first, prior to putting them on LOA (with appropriate LOA reason selected).  This will show the history correctly of each type of Leave and keep the employee on a Payroll Status = Leave of Absence.**

  1. Add a Row, effective date will be the start of Academic Year (click Red Calculate Status/Dates Button)
  2. Action = Return from Short Work Break; Reason = Start Academic Year
  3. SAVE
  4. Add a Row, effective date will be same date as the Return from Short Work Break effective date, increment Effective Sequence by 1 (click Red Calculate Status/Dates Button)
  5. Action = Leave of Absence; Reason = Select Appropriate Reason
  6. SAVE

Procedure Steps

Placing an employee on Full Time Leave of Absence (LOA)

Navigation: Workforce Administration > Job Information > Job Data

  1. Click the + button to add a row.
  2. Enter Effective Date of Leave of Absence (LOA).
  3. Select Action = Leave of Absence.
  4. Select appropriate Action Reason.
  5. Enter an Expected Return Date, if available.
  6. Click the Save button.

  7. End of Procedure.

Returning an employee from Full Time Leave of Absence (LOA)

  1. To return an employee from FT LOA, Click the + button to add a new row.
  2. Enter Effective Date of Return from Leave of Absence (LOA).
  3. Select Action = Return from Leave.
  4. Select Action Reason = Return from Leave.
  5. Click the Save button.
