General Description

This guide will walk you through the steps of hiring a person into a Classified Permanent or Project position.

Process Considerations:

Before adding the hire in JEMS, you should have completed the following:

  • Search for Matching Person & Job Data in HRS.
  • Search EPM for a potential match.
  • Acquired the following data: ID and Empl Record Number (if the person exists in HRS or EPM), Adjusted Continuous Service Date, Compensation information, Probation Requirements.

    • If new to permanent state service put in hire date.

    • If current UW-System CP the date will populate.

    • If CP transferring from another state agency enter Adjusted Continuous Service Date.

    • If former CP returning with a break in service of 5 or less years calculate new date and enter

    • If CJ Do not edit if field is populated or enter into field if blank
    14 Gender (Required) Select from dropdown list
    15 Veteran Indicator (Required) Defaults to “N”
    16 Handicapped Indicator (Required) Defaults to “N”
    17 Address (Required) Enter address - If current or former employee person information will populate fields. Edit address fields with updates as necessary.

    42 Rehired Annuitant (Required) Select from the following dropdown list:
      
    •  No
    • Select Rehire Post 7-1-2013 elect WRS if the Rehired Annuitant's WRS Termination Date was on or after July 2, 2013 and their position is expected to last one year and require 600 or more hours of service (440 or more hours for teachers and educational support staff) but is not expected to require 1,200 hurs of service (880 hours or more for teachers and educational support staff).
    • Select Rehire Post 7-1-2013 no WRS if the Rehired Annuitant's WRS Termination Date was on or after July 2, 2013 and it is not expected that their position as an employee or contractor will last one year and require 1,200 hours of service (880 or more hours for teachers and educational support staff).
    • Select Rehire Post 7-1-13 require WRS if the Rehired Annuitant's WRS Termination Date was on or after July 2, 2013 and it is expected that their position as an employee or contractor will last at least one year and require 1,200 hours of service (880 or more hours for teachers and educational support staff.)
    • Select Rehire Pre 7-2-2013 elect WRS if the Rehired Annuitant's WRS Termination Date was prior to July 2, 2013 and the employee is electing to actively participate in the WRS.
    • Select Rehire Pre 7-2-2013 no WRS if the Rehired Annuitant's WRS Termination Date was prior to July 2, 2013 and the employee is not eligible, at this point, to participate in the WRS OR if the employee does not elect to actively participate in the WRS.
    43 Std. Out-of-state plan Press if employee will be working out of state
    44 Foreign National Departments should check the foreign national box as follows:
        - If the employee is a foreign national;


    -If the employee is a permanent US resident (green card holder) and they are a new employee 


    Do not check the box if the employee is:


    -A permanent US resident (green card holder) and they are a continuing employee


    -A naturalized US citizen (whether new or continuing employee)
    45 Appointed Populates after the hire is successfully pulled into HRS
    46 Position # Populates after the hire is successfully pulled into HRS

    Push to HRS

    STEP FIELD ACTION
    56 Push Hire to HRS Press <Push Hire to HRS> Button. Validates data, saves changes and pushes complete “Selected Applicant” to HRS for processing (Push to Hire will not process until all the required fields are entered for a selected applicant. The process cycle to pull into HRS will run every 30 minutes. Divisions have the option to override the 30 minute process cycle and use the “On Demand&rqduo; button to pull hire data into HRS immediately.
