HR - Maintain Workforce - Pay Rate Changes

This document describes how to enter Employee Pay Rate Changes.

General Description:

Employees typically receive Pay Rate Changes for: Faculty/Academic Staff/Limited Appointment (FA/AS/LI) Promotion, University Staff Reclassification, Pay Plan increases, Temporary Base Adjustments, etc. Action = Pay Rate Change with multiple options for Action Reasons.

Process Inputs:

  • Pay Rate Change, approval/documentation.

Process Outputs:

  • Employee Pay Increase.

Process Considerations:

  • Document 16758 is unavailable at this time.

  • Classified Reclasses are typically retroactive.  PY - Managing the Individual Retroactive Payroll Process (Payroll Coordinators)

  • Pay Rate Changes done in collaboration with a Promotion will need to be done by adding a subsequent row following the Promotion row.

    • Click + button, enter Effective Date (same as Promotion Row, with sequence #1 or next available)

    • Action = Pay Rate Change; Action Reason = select appropriate Reason

    • Click on Compensation Tab; Add new Rate in the Comp Rate field.

    • Click Calculate Compensation.

    • Click Save Button.

  • Pay Rate Changes is in the past and occur between rows that currently exist you will need to add additional rows to the future existing rows.

Procedure Steps:

Navigation: Workforce Administration > Job Information > Job Data

  1. Enter employee information into the search fields.

    Search For Employee
  2. Click the 'Search' button.

  3. Enter Effective Date of Pay Rate Change.

    Enter Effective Date of Pay Rate Change
  4. Select Action = Pay Rate Change.

  5. Select Action Reason = appropriate reason:  HR - Action/Action Reason Code Job Aid

  6. Click the Compensation Tab.

    Click Compensation Tab
  7. Enter new Compensation Rate.

  8. Click Calculate Compensation.

  9. Click the Save button.
