HR - Warning Messages

GENERAL DESCRIPTION:

This KB provides a list of common HR Warning Messages in PeopleSoft and the action that should be taken.

Task Message Action Result
Add/Create a Position Please enter a Department. It is a required field. (1000,342) Click OK Return to Update Position Data where a valid department code must be entered.
Add/Create a Position Please enter a Location. It is a required field. (1000,342) Click OK Return to Update Position Data where a valid location code must be entered.
Add/Create a Position Highlighted fields are required. (15,30) Click OK Return to Update Position Data where a valid Pay Basis must be entered.
Add/Create a Position Continuity is required Click OK Return to Update Position Data where a valid Continuity Code must be entered.
Add/Create a Position Warning -- The Reports To position has not been entered. (1000,144) Click OK Data Saves Successfully. Note: functionality not being used.
Update Position Data Data being added conflicts with existing data (18,2) Click OK Return to Update Position Data where a future dated effected date must be entered.
Add a Person The EFFDT cannot be greater than today when adding a person. (1000,1474) Click OK Return to Add A Person page where a valid date must be entered.
Add a Person Warning -- Social Security Number should be entered for US Employees. (1000,835) Click Cancel Return to Add A Person page where a proper social security number should be entered.
Hire Person (with Position)

Add Employment Instance

Warning -- A complete Home Address is required with a State that is valid for Company State Tax. (2000,552)

The person is missing a complete Home Address with a State that is set up in Company State Tax Table with effective date lower than date of hire.

Click Cancel Return to the Job Component where the option is provided to return to the Add A Person Component to update the person's address.
Hire Person (with or with out Position)
Warning -- Invalid State in Home Address - needs to be set up in Company State Tax (2000,393)

State must be set up in Company State Tax Table with effective date lower than date of hire.
Click OK
Return to Add a Person or Add Employment Instance.  Message means that home address in not in Wisconsin.  Record should be saved.

Warning -- Head count of 2 exceeds maximum head count of 1 for position. (1000,156) Click Cancel Return to the Job Component where position number should be validated.

Warning -- Compensation Rate is zero. (1000,31) Click Cancel Return to the Job Component where compensation should be validated. If zero is correct, leave as is. Otherwise, enter a Compensation Rate.

Please enter a Probation Type (20004,29) Click OK Return to the Job Component where a valid Probation Type should be entered.

Please enter Expected End Date. It is a required field. (20004,8) Click OK Return to the Job Component where a valid Expected End Date should be entered.
Maintain Job Data Warning -- Pay Rate Change action is chosen and Pay Rate has not been changed on job row YYYY-MM-DD. (1000,27)

If the Pay Rate Change action is selected, you should change the Compensation Rate value.
Click Cancel Return to the Job Component where the compensation value should be validated and the Calculate Compensation push button should be clicked.
Maintain Job Data Employee to be terminated. (20004,155).

You have just entered a termination row. If this is a Retirement, all records need to be terminated. If other jobs remain active, the Benefits Primary Flag will automatically be assigned to the lowest active job record. A Benefits Coordinator should review and make any adjustments needed. If this is a resignation, be sure the employee is not transferring to another Department/Division/Campus.
Click OK Prior to Saving the added Termination row, be sure that the Warning message doesn't trigger additional action (e.g Transfer vs. Termination).
Maintain Job Data Expected Job End Date Changed - Please review Continuity in Position and update if appropriate. (20004, 154) Click OK Ensure that the employee's Continuity does or does not need to be updated based upon the extension of the employee's duration.

Home and Mailing Address
Select an address type before continuing. (18032,1381) Click OK Return to the Home and Mailing Address page where a proper Address Type value must be selected from the drop down values.

The Change Date must be today's date or greater. (18032,552) Click OK Return to the Home and Mailing Address page where a proper Change Date value must be entered.
