PD - Create a New Run Control ID for an HRS Report

Some HRS reports require that you enter a name for your report selection criteria before you can run the report initially. The name of the report selection criteria is called a Run Control ID. You only need to enter a name for your Run Control ID the first time you run the report. The Run Control ID is saved under your own User ID and is only available for you to use and not share with anyone else. Once a Run Control ID is saved with your specific report selection criteria, it can be reused at any time.

This document shows how to create and save a new Run Control ID for a PeopleSoft report, and run the report to view the results. You will also see how to choose a desirable output file format (e.g. CSV) to download the report results to an Excel spreadsheet.

Create a New Run Control ID for an HRS Report

Procedure Steps

1. From the HRS Main Menu, navigate to the desired HRS report that requires a Run Control ID.  For our example, we used menu navigation: UW HR Reports > Personnel Actions History.  Your run control parameters will change depending on the report chosen.

    a. For a list of Human Resources reports, refer to HRS KnowledgeBase document 16700, HR - HR Report List .
    b. For a list of Time and Labor reports, refer to HRS KnowledgeBase document 17071, TL - Time and Labor Reports .
    c. For a list of Talent Acquisition Management (TAM) reports, refer to HRS KnowledgeBase document 20552, TAM - Report List .
    d. For a list of Benefits reports, refer to HRS KnowledgeBase document 16794, 16794.
    e. For a list of Absence Mangement reports, refer to HRS KnowledgeBase document 18021, 18021.

2. In the [Report title] Run Control ID search screen:

    a. If it is your first time running this Run Control ID report, click the Add a New Value tab. Go to Step 3.

    b. If not the first time running the report, click Search to locate your pre-existing Run Control ID. Go to Step 4.

Note: A Run Control ID is a name assigned to a set of report parameters used to run the report. Once saved, it can be re-used the next time the report is run.

 3. In the [Report titleAdd a New Value tab:
     a. In the Run Control ID field, enter a name that is 30 characters or less and contains no spaces. Example: PERSACTIONHIST.

     b. Click Add to continue to the next screen.
4. In the [Report Title] tab, the Run Control ID field shows the name you selected or entered to identify the Run Control ID for this report (e.g. PERSACTIONHIST). Each HRS report that requires a Run Control ID will have its own unique fields for choosing report selection parameters.
5. In your HRS report selection areas:

    a. Enter your desired report selection criteria.

    b. To save your Run Control ID and report selection criteria for re-use, click Save.

        (HRS briefly displays the word Saved in the upper right-hand corner of the screen).
6. To run the report with your saved report selection criteria, click Run
7.  In the Process Scheduler Request screen:
     a. To choose an output file format different than the default PDF (portable document format), click the drop-down arrow in the Format field, and select from the list of available choices (e.g.   CSV for comma separated value).
         Note: The option for CSV (comma separated value) allows you to open the file in an Excel spreadsheet.

     b. To run the report with the desired file format, click OK.
 8.  After clicking OK, the [Report Title] tab displays. A unique Process Instance number (e.g. 1184280) shows that your report is running in the background.
 9. To display the run status of your report, click the hyperlink for Process Monitor
10. After clicking the Process Monitor hyperlink, the Process List screen displays. Locate your unique Instance number (e.g. 1184280) based on the report run date/time.
      a. In the Process List screen, click on the yellow Refresh button (every 10 seconds) until the report Run Status indicates "Success" and the Distribution Status indicates "Posted."    Note: The process interval in HRS is every 10 seconds.

      b. When the Run Status displays "Success" and Distribution Status displays "Posted", click on the Details hyperlink to view the report results.
11. After clicking on the Details hyperlink, the Process Detail screen displays.
      a. Locate the Actions section on the lower right-hand portion of the screen.
      b. Click the View Log/Trace hyperlink to display the output file.
12. In the View Log/Trace window, the File List section contains the output file format selected in Step 7 above. In our example, the .PDF output file format was selected. Click on the file name to view the report results.      
 Note:  If you receive a Windows Security message, when trying to view the .CSV output file, click Cancel to bypass the warning.
  13.  A new window opens to display the report results. (The report example shown below is in .PDF file format).

14.  Scroll through the report results.

15.  When finished, close the window for the report results.
