General Description:

This guide will walk you through the steps to check the status of a CP/CJ hire transaction and the process to correct errors.

Procedure Steps

To perform this procedure, please follow these steps:

    2 Username Enter Username
    3 Password Enter Password
    4 Connect Press Connect
  3. View all CP/CJ Transactions in Process

    1 View all CP/CJ transactions in process Click on <Permanent/Project Vacancy> button
    2 Transactions In Process Press <Transaction In Process> button
    3 Select Transaction to review Click on box of selected transaction
    4 View HR Tran Press <View HR Tran> button
  4. View a single CP/CJ Transaction in Process

    5 To view a single transaction Enter Trans ID in <Edit/View HR Transaction> field
    6 View HR Tran Press <View HR Tran> button

    7 Status If Status indicates "Payrolled" hire transaction was successful – no further action is needed in JEMS. If Status indicates "HRS Errors", an HRS Error Occurred, continue with Step 8.
    8 History Tab Click on History Tab
    9 HR Transaction/Vacancy Status Go to the row that indicates "HRS Error" and click on <Status Note> button

    10 Status History Notes View error and click on <close> button.
    11 Close Transaction Click on "X"

    FYI – If the hire errors out in HRS an email will also be sent to the Division HR similar to below.

    An email is sent if error occurs

  5. Correct HRS Errors and Re-Submit to HRS

    STEP FIELD ACTION
    12 Permanent/Project Applicant Processing Click on <Permanent/Project Applicant Processing> button
    13 Vacancy ID Enter <Vacancy ID> in field
    14 Social Security or Empl ID Enter Social Security or Empl ID in field
    15 Update Select <Update/View Contractual Transfer>, <Update Permissive/Special Applicant> or <Update Hired Register/Project Applicant> based on the type of hire. Correct Errors to person and/or appointment data as indicated.
    16 Push Hire to HRS Press <Push Hire to HRS> Button. Validates data, saves changes and pushes complete "Selected Applicant" to HRS for processing (Push to Hire will not process until all the required fields are entered for a selected applicant. The process cycle to pull into HRS will run every 30 minutes. Divisions have the option to override the 30 minute process cycle and use the "On Demand" button to pull hire data into HRS immediately
