Voice Mail (Centrex) - Recording and Using Your Out-of-Office Greeting (Extended Absence Greeting)

When you are away from the office for an extended period of time, you can let people know by recording and activating an out-of-office greeting. This recording is played instead of your standard greeting until you turn it off. When activated, callers will not be able to leave messages in your mailbox.

Recording Your Out-of-Office Greeting:

  1. At the main menu, press 4 for PhoneManager.
  2. For Personal Options, press 1.
  3. To record a personal greeting, press 3.
  4. To record an out-of-office, greeting, press 3.
  5. To begin recording, press 2 and speak your greeting. Then press 2 to stop recording.
  6. Optionally, do the following:
    Press ... If you want to ...
    6 Review your greeting
    4 Delete your greeting and start over
    2 Cancel and exit without saving or recording
  7. To save the recording, press 5.
  8. Your out-of-office greeting is now active.

    note: You can also use the Web PhoneManager to create your out-of-office greeting.

To use the rapid recording commands:

  1. At the main menu, press 4 for PhoneManager.
  2. Press 6 to record an out-of-office greeting.

Note: The voice mail system reminds you that your out-of-office greeting is active each time you log on to your mailbox.

Disabling the Out-of-Office Greeting

There are two methods you can use:

method 1 -- Using the Web PhoneManager
  • Log into Web PhoneManager.
  • Click on Personal Settings.
  • Under the Recordings tab, un-check the "Enable Out-of-Office Greeting".
    (This standard greeting is now active.)
  • Click OK to save you settings.
method 2 -- Calling 265-5500
  • Call the 5-5500 number.
  • After entering your passcode, press 4 to remove the greeting.
    (Pressing 5 keeps the Out-of-Office Greeting active.)

Deleting the Out-of-Office Greeting

To delete the actual message

  1. Call the system at 5-5500.
  2. Press the following key sequence: 4, 1, 3, 3
  3. The system should ask if you want to delete the Out-of-Office Greeting.
