TAM - How to Apply for a Job On-line (Internal Applicant/Current UW employee)

GENERAL DESCRIPTION:

Internal applicants that currently work for the UW System (any campus or institution) can apply for jobs posted for UW employees by visiting their employment opportunities website, Employee Self Service in HRS, or via the My UW System Portal.

 PROCESS CONSIDERATIONS:
  • Updates to applicant profile information for current University of Wisconsin Employees should be made by logging into the My UW System Portal at https://my.wisconsin.edu.  Go to the Personal Information Section and click on Update My Personal Information. Reference:  HR - Employee Self Service - Change Addresses

  • Note: Only UW System employees who have been added to the job opening (i.e. hiring manager, search and screen committee chair, interviewers, etc) will have access to view resume and applicant materials.




PROCEDURE STEPS:

Finding a Job - Careers at UW

  1. Log in to the My UW System Portal at  https://my.wisconsin.edu. (or for UW Madison employees - https://my.wisc.edu). Select the UW System Career Opportunities tile.
    NOTE: Employees who have access to HRS can log into HRS, then navigate to: Self Service > Recruiting > Careers.

  2. From the UW System Career Opportunities page, click Careers at UW.

  3. From the University of Wisconsin System Careers at UW website, select the link for which institution to browse employment listings.

  4. To apply for a job found on the institution's website, click on the link in the listing to apply.

NOTE: If you are applying for a job at one of the following institutions continue the steps in this document: UW Colleges, UW Eau Claire, UW Extension, UW Green Bay, UW Parkside, UW Stevens Point, UW Stout, UW Superior, UW System Administration, UW Whitewater.

Finding a Job - TAM

  1. The Careers page appears. Since you are a current UW employee, you do not need to register and can begin your job search. You can
    a.  view all current job postings
    b.  search by Keywords
    c.  narrow down the search more by clicking More Options
    d.  view certain positions by using the Filter by section on the left
    e.  view Internal Jobs available only at your Institution, click the link on the left of the screen
    NOTE: To return to internal job postings at all UW Institutions, click the hyperlink 'For Internal Job Postings available for employees at All UW Institutions click here'.

  2. After the results populate, click the Job Posting link for which job you are interested in applying.

  3. Review the Job Posting.

  4. To apply for the job posting, click Apply.

Applying for a Job

NOTE: at any point in time click Exit and that will take you out of the application and to your home page, click Save as Draft to save the current application, or click Previous to go back to the previous page in your application. 

  1. Step 1 - Read through the notices, agreements and terms. After doing so, click the I have read and agree to the above terms and agreements checkbox and then click Next.

  2. Step 2 - Answer any Pre-qualification questions and select Next.
    NOTE:
    If you meet the pre-qualifications for this position a message will appear telling you that you are eligible to apply for this job. If you do not meet pre-qualifications, a message will appear informing you that you do not meet qualifications and you will be taken out of the job application process for that job.

  3. Step 3 - Enter your resume by either selecting
    a.  Type resume text button to type in or copy and paste your resume (Note: if using copy and paste, some of the formatting may not remain in the document after it is saved.)
    b.  Attach Resume button to upload a copy of your resume

  4. Click the Attach Cover Letter button to upload a cover letter to the job application.

  5. After adding the resume and/or cover letter, click Next.

  6. Step 4 - click the Add Attachment button to add additional documentation such as Transcripts, References, or Other items required as listed in the job posting. After adding the attachment(s), click Next.
    NOTE: upload all required application materials, such as, transcripts, teaching philosophy, etc. *Be sure to upload all required materials to ensure your application is considered complete.

  7. Step 5 - update the Preferences (optional). Click Next.

  8. Step 6 - answer any questions in the Online Questionnaire page and click Next.
    NOTE: To answer open ended questions, you can copy and paste from Word into the text box. You can also use spell check by clicking the book and arrow icon to the right of the box.
    • To add education information in the Online Questionnaire, click on the Add Degrees link.
      • Enter the Date Acquired.
      • Enter the Degree, you must enter from a list of values, to see the list of values select the magnifying glass.
      • Enter other degree information as you wish.
      • Click Save to return to the application or Save and Add Another to add another degree.

  9. Step 7 - enter references by clicking the Add Reference button.

  11. Enter the required reference information, Reference Type, Reference Name and Title. Additional information can be added.

  12. After entering the reference information, click the Save button. If there is another reference to add, click Save and Add Another.

  13. After adding all references, click Next.

  14. Step 8 - read and answer the Request for Confidentiality, and click Next.

  15. Step 9 - provide the necessary information on how you learned about the position.  After completing the Source Information fields, click Next.

  16. Step 10 - review the information entered into the application.
    • To edit any portion of the application, click the Pencil icon for the section you wish to change. 
    • Or you can go back and edit information by clicking the Previous button to navigate back to that step.
    • If you are not ready to submit, you can click Save as Draft to save the current application. Do not Submit Application until the application is complete. When you are ready to submit the application, see below for Submitting a Saved Application.

  17. Click the Submit Application button to complete the application.

  18. You will see a message asking if all required materials are attached.  Click Yes to submit, click No and then click the Pencil icon for the section you wish to change.

  19. After submitting the application, you will receive an Application Confirmation. You can either click the hyperlink to View Submitted Application or Return to Job Search.

Submitting a Saved Application

  1. From the home page, click My Activities.

  2. Click the Job Title for the application that has not been submitted.

  3. Complete and review the application.

  4. Click the Submit Application button to complete the application.

  5. You will see a message asking if all required materials are attached.  Click Yes to submit, click No and then click the Pencil icon for the section you wish to change.

    : Once the application is submitted, changes can no longer be made.
