SIS/Faculty Center - Photo Roster Service
The Photo Roster is a pdf document available within the Class Roster page that displays the photos and names of enrolled students in a class section for a given term. If a student or instructor has entered a preferred name, only that name will appear on the photo roster.
Photo Rosters are available to Instructors within the Class Roster page via the Faculty Center. Curricular and enrollment representatives can access the Photo Roster directly in SIS following the menu path of Curriculum Management > Class Roster > e-Class Roster. You may be prompted to enter your NetID and Password.
Besides the photos and names of the enrolled students for a class section, the photo class roster also lists the course title, section number, term, session dates, department, catalog number, number of enrolled students, up to three instructors and the time/date the photo roster information was last updated.
Student photos used for the photo rosters come from the Wiscard Photo Id System. Any student who has had a photo taken at the Wiscard office since June of 2008, should display on the photo roster. Student photos taken before June of 2008, are not available for display on the photo roster.
Please Note: Student photos are private, non-directory information and protected under federal law (FERPA). Non-directory information must be protected at all times. The use of photos on class rosters is for the legitimate educational interest of the instructor only. Proper care should be taken to protect the privacy of your students, including proper destruction of this photo class roster updon discontinuation of use.
Instructions on how to access class rosters can be found at Instructor Access to eClass Roster - Instructions. Once you have accessed the class roster, you will see a Photo Roster button in the upper right hand corner of the page.
Click on the Photo Roster button. Depending on the browser you are using, you will receive a message that the download is complete and you will want to open the downloaded pdf. You might need to adjust the pop-up blocker setting on your browser and additional information can be found at Web Browsers - Popup Blockers or Class Roster Access Tips.
The class roster will always reflect up-to-the minute enrollment in your class. The photo roster of your enrolled students is updated every five minutes from the start of enrollment through 30 days after the start of the term. After that time, it is updated every 30 minutes. You may experience a temporary discrepancy between students actually enrolled and the enrolled students on the photo roster. The last time the photo roster information was updated is listed on the photo roster page. Only the first three instructors display on the photo roster due to space limitations. If the course section you are viewing was just added to the student information system, it could take up to two hours before a photo roster is available and the following message will appear if the roster is not available.
At this time, photo rosters are only available for the current Fall, Spring or Summer term.
