UW Policies & Procedures Concerning Grades and Grading

This document gathers together resources for faculty and instructional staff concerning student grades and grading policies, including deadlines for submission of grades.

Faculty Legislation governs Undergraduate Grading Policy.  These policies are enforced by the Office of the Registrar, which also manages the eGrade system, and providing many resources on the topic of grades and grading, including questions about valid grades and GPA calculations, Final and Mid-term exam grading, and each semester's deadline for submitting final grades

Particular attention is given to submission of final grades, because instructors must submit final grades on time:  "Late submission of grades results in restrictive academic actions on students that can have myriad negative impacts. Further, late grade rosters can not be processed. Any grades submitted after the deadline will need to be processed as if they were grade changes, submitting individual electronic Grade Changes for each student." 
What are those "negative impacts"?  When instructors don't submit grades as required, that deficit can affect students' continued scholarship, financial aid, and visa status. Students who are on academic probation may be unable to continue enrollment, or they may enroll in the subsequent term and be asked to leave. Students seeking admission to limited access majors may be unable to apply in a timely way, and students who are applying to graduate and professional school may be unable to meet application deadlines. Though these effects may concern only a sub-set of students, all students benefit from timely communication about their performance as they pursue successful careers at UW-Madison.
