What is Learn@UW eGrade submission?
The Learn@UW eGrade submission is a process that allows you to import final grades into the My UW-Madison for submission to the Registrar by pulling grades from your Learn@UW course site (instead of inputting the grades manually into My-UW Madison).

Should I use the eGrade submission process through Learn@UW or just go to the My UW-Madison and enter the grades myself?
The process is effective for larger classes. If you have around 30 students or less, you may find it quicker to simply enter grades manually into My UW-Madison for your class.

What's the difference between the Final Calculated Grade and the Final Adjusted Grade in the Learn@UW gradebook?
A student's final calculated grade is calculated based on the grading formula set up in the Learn@UW Gradebook. You cannot adjust it to accommodate special circumstances without editing individual grade items or categories and recalculating the total. By contrast, you can modify a student's final adjusted grade before releasing it. You can export either the Final Calculated Grade or the Final Adjusted Grade values. To choose which one you want to export, go to Grades Settings>Calculation Options>Final Grades Released, then select either Calculated Final Grade or Adjusted Final Grade.

What's a grade scheme?
A grade scheme refers to the way you choose to allocate grades; deciding what range of percentages merit an A or an AB, a D or an F is part of establishing your scheme. For instructions on how to set up a grade scheme for your Learn@UW course, see Learn@UW - Grade Schemes.

What if my course isn't currently activated? Will eGrading still work?
Your Learn@UW course can be either active or inactive when you export grades from it. The activation setting will not affect the ability to export grades from your course.

My grades in the Learn@UW gradebook are numeric (for example, 92%). How do I change them into letter grades so I can import them into My UW-Madison?
To convert your number grades to letter grades, you must create a final grade scheme and apply it to your final grades.

It looks like the letter grade for my students is incorrect. What went wrong?
One of the following may be the issue:

  • Your grade scheme may not be set up properly. To review it, click the Grades Schemes icon and click on the grade scheme you are using. Verify that your percentage ranges and letter grades match up properly.
  • You may need to recalculate the final grades.

My final grades are displayed in both a number and letter grade in Learn@UW, but the Faculty Center only accepts letter grades. What do I do?
Depending on your gradebook set up, Learn@UW may display both a percentage and a letter grade as the final grade. However, this shouldn't affect the success of your import of the grades into My UW-Madison, as only the letter grade will be imported into My-UW Madison.

How do I change the rounding for an individual student's grade in the Learn@UW gradebook?
Use the Final Adjusted Grade column to change a student's grade. Verify that the desired grade appears in the Scheme column.

Should I release final grades to students within Learn@UW?
Releasing final grades to students in Learn@UW is not recommended, as the grades reported to the registrar are the official record. Instead, it's recommended that you direct students to the "Student Center" in My UW-Madison for their final grades.

One of my students scored more than 100% in the course and it is not reflected in his/her Learn@UW final grade.
The maximum percentage that a student can achieve as a final grade in Learn@UW is 100%.

I received an error when calculating final grades in Learn@UW, or my calculation did not complete.
In large classes, grading may need to be done in smaller increments. For details, follow the troubleshooting instructions under "Problems with grade recalculation" in Prepare Final Grades.

When I tried exporting my grades from Learn@UW it gave me a "500 error."
This error may occur in the event of a timeout of the export process. Retry the export by clicking the browser's Back button and clicking the export button again.

The Registrar did not receive my exported grades.
After exporting grades from Learn@UW, be sure to (a) access My UW-Madison and import them using the Learn@UW button, and (b) submit the grades to the Registrar.

I do not see the "Export Final Grades to Import into My UW-Madison" button in my Learn@UW gradebook.
If you do not see the Export Final Grades to Import into My UW-Madison button within your gradebook and letter grades appear in the column for the grades you are exporting (Final Calculated Grade or Final Adjusted Grade), contact the Learn@UW Support Team.

I don't see my grade rosters in My UW-Madison.
Only the instructor of timetable record for the course has permission to submit grades in My UW-Madison. Contact your department timetable representative for access.

I don't see the Learn@UW button in My UW-Madison.
The Learn@UW button shows up only if your grades have been successfully exported from Learn@UW. Otherwise you will see Export and Import buttons. You can attempt to export your grades from Learn@UW again (be sure to allow 15 minutes after export). Or, you can export a roster from My-UW Madison to Excel, modify the grades, then reimport them for submission.

After clicking the Learn@UW button in My UW-Madison I see percents instead of letter grades. I thought I could only import letter grades?
If you see percents instead of letter grades after clicking the Learn@UW button, or all grades appear as numbers rather than letters, the Learn@UW grade scheme has either not been properly created or applied. Return to the directions on creating and applying a grade scheme (Steps 1 and 2, above), and repeat the instructions for sending from Learn@UW and importing in to My UW-Madison (Steps 4 and 5, above).

I got an "Invalid Grade" error after clicking the Save button in My UW-Madison.
If a grade scheme is set up with an invalid grade, an invalid grade error will appear after clicking the Save button. See the Registrar's list of valid instructor-assigned grades.
