Course Proposal - What is the process for having a course approved?

All proposals on this list must go through the standard course approval process.  Some proposals must also be reviewed by other affected units.

Standard course approval process:
1. Proposer: Anyone with access to the online course proposal process system can initiate a course proposal.  Once the proposal is ready, submit the proposal and it will advance in the approval workflow.

2. Review by the subject owner: Once the proposer submits the course proposal, the department/program that houses the course’s subject listing (that is, the subject owner) will receive email notification of the proposal.  The subject owner’s chief academic officer (that is, the department/program chair) or designee will shepherd the proposal through the review by the subject owner’s governance body (or bodies).  If there are questions, the subject owner will contact the proposer, either by using the comments feature within the online course proposal process system or by communicating outside the system.  The subject owner may choose to put a hold on the proposal until questions are resolved.  Once the subject owner approves the proposal, the proposal will advance in the workflow. 

3. Review by the school/college: Once the subject owner approves the proposal, the school/college will receive email notification of the proposal.  The proposal will be reviewed by the school/college approval committee.  If there are questions, the school/college will typically use the comments feature within the online course proposal process system, which will generate an email to the proposer and the subject owner.  Communication may also happen outside the system.  The school/college may choose to put a hold on the proposal until questions are resolved. Once the school/college approves the proposal, the proposal will advance in the workflow.   Be mindful of school/college approval committees' meeting dates and deadlines:

4. Campus-level review: Once the school/college approves the proposal, the University Curriculum Committee will review the proposal.  If there are questions, the University Curriculum Committee will typically use the comments feature within the online course proposal process system, which will generate an email to the proposer, the subject owner, and the school/college.  Communication may also happen outside the system.  The University Curriculum Committee may choose to put a hold on the proposal until questions are resolved. When the University Curriculum Committee approves the proposal, the proposal will advance in the workflow.  Be mindful of the committee's meeting dates and deadlines.

5. Processing by the Registrar’s Office: After the University Curriculum Committee approves the proposal, the Registrar’s Office will input the course information to ISIS.  This is the final step in the course proposal process.

Review by other affected units :

Some proposals will contain elements that require review by departments/programs or schools/colleges beyond the originating subject owner and its school/college.

Included in this category of other affected units are proposals that contain the following elements:

  • A crosslisted course subject
  • A potential overlap with another course
  • An issue that will affect a program (degree, major, certificate) outside the course’s originating academic unit
  • Request to be designated as a liberal arts and science course
  • Request for College of Letters and Science breadth designations
  • Request for general education requirement designations
In these cases, the affected unit will receive email notification at the same time as the subject owner (step 2 in the standard course approval process - for crosslisting, overlap or other issue affecting a program) or the school/college review  (step 3 in the standard course approval process - for general education or L&S designations for non-L&S courses). 

It is possible for the proposal to advance through the standard course approval process while these elements are being considered concurrently. In some cases, however, the subject owner, school/college or university curriculum committee may require that these elements be resolved before approval is granted.
