ECMS - Enterprise Content Management Service Description
This document explains briefly what the Enterprise Content Management Service provides.
Enterprise Content Management Service Description
A digital document management system called ImageNow (name presently being rebranded as Perceptive Content). The company is called Perceptive Software (http://www.perceptivesoftware.com/products) a Lexmark company headquartered in Kansas City MO. ImageNow/Perceptive Content is a document repository (files on a file system) with an associated database containing metadata about the files. There is a desktop client and a web client.
The system can be used in a myriad of ways from simple document archiving to full-scale document life-cycle management (we have a Retention Policy Manager component installed). For more information see:
Enterprise Content Management.
It is in use on this campus by the Division of Enrollment Management (Undergraduate Admissions, Financial Aid), Office of Human Resources, University Accounts Payable, and various other departments. We are in the midst of a project to migrate all UW-Milwaukee users to our system.
Input into the system can be done in multiple ways: FAX, scanning, eForms (a input form that results in the creation of a document file), and document conversion (e.g., admissions applications come from UW-System as PDF documents that a process converts to a system format). Use can be simple or complex as the need dictates.
One of the system's strengths is its ability to route documents via a 'workflow' to individuals who need to make decisions about a document (e.g., an application for admissions or an invoice). See:
These people have 'queues' they manage via the clients. The clients provide the ability to markup the documents electronically (think here of invoices with receipt date or payed-on date). If you've used WIDSM to view any invoices for a cost center you may have used ImageNow to view those invoices (url will include https://imaging.wisc.edu/webnow).
It can do a lot of things and we are investigating adding additional functionality in the next year: transcript OCR that is like magic (seriously amazing capabilities), content indexing to add full-text searching of all document contents (rather than eight fields worth of metadata), data mining of workflows to help with finding and eliminating inefficient workflow design.
