Learn@UW - Function of Pound Signs (#) in Grades File Records

When you export a Grades File from the Gradebook, every record exported will contain a pound sign (#) in front of the values in the OrgDefinedId and/or UserName fields and in the last field with the heading End-of-Line Indicator .

For example:

The pound signs are not part of the data.

The pound signs in front of the values in the OrgDefinedID and/or UserName fields (depending upon which of these fields are present) are to prevent possible data changes that may otherwise occur if you export a Grades file, open the file with Microsoft Excel, and later re-import it.  For example, if an OrgDefinedID value is numeric and has leading zeroes (e.g., 00246), the pound sign prevents Microsoft Excel from interpreting the data as numeric and stripping the leading zeros.

The pound signs in the last field with the heading End-of-Line Indicator  are end-of-record markers for each record.  These prevent possible problems that may otherwise occur if you export a Grades file and later re-import it.

If you have a Grades file that has neither pound signs in front of the OrgDefinedID and/or UserName values nor an End-of-Line Indicator field containing pound signs, you will still be able to import it successfully provided that the following conditions hold:

  • OrgDefinedID and/or UserName values cannot be interpreted as data other than text (for example, all begin with a letter).
  • There are no null (un-graded) values for the last Grade item of the record.
