Office 365 (Apple Calendar) - Work on behalf of a resource calendar

Best Effort Support Only

This document contains instructions on using a non-Microsoft email client, such as Apple Mail or Thunderbird. Microsoft does not recommend these clients for use with Office 365, and there are often significant limitations in client functionality as a result.

Because of this, the DoIT Help Desk is only able to offer best effort support for these clients, and certain issues may require the use of a Microsoft client in order to be resolved. For more information on Office 365 client support, please see: Office 365 - Which clients/protocols will be supported?.

This article explains how to use the delegation features of Apple Calendar to manage the calendar for a resource calendar.

Important: You will need to first have access (editor/delegate permissions) to the resource calendar you are trying to work on behalf of. If not, please follow the steps in the provided document to do so: Document 34870 is unavailable at this time.. Even if you are the owner of the resource, you will still need to grant yourself these permissions.

Subscribe to the Resource

Before you can work on behalf of a resource calendar, you must first subscribe to the resource. If you have already performed this step, continue to the next section.

Creating an Event on behalf of the Resource

Note: At a minimum, you will need "Editor" permissions to act on the behalf of a resource calendar.

Note: in the example below, the resource calendar is called "Kohl Center Penthouse".

  1. Make sure to select the resource on the far left under the Delegates section. Next, click the plus ("+") icon located at the top left of the screen.

Adding an event to the delegated calender

  2. After creating the event, you will be able to double click the event on the calender to edit the details such as the date and time of the event, the location, invitees, and even add notes to the event.

    Editing an event

  3. After editing the details of the event, attendees will be updated via email with information pertaining to the event.
