UW-Madison Google Workspace - How will Google Calendar affect Office 365 calendar?

UW-Madison Google Workspace includes Google Calendar. Although you are free to use Google Calendar, Office 365 is UW-Madison's official enterprise calendaring system. It is recommended that you continue to use Office 365 for scheduling meetings. Information about potential interoperability issues is available below.

Meeting invitations from Office 365

  • If you use Office 365 to send a meeting invitation to another Office 365 email address, the meeting will not appear in Google Calendar
  • If someone else uses Office 365 to invite your Office 365 email address to a meeting, the meeting will not appear in your Google Calendar

Meeting invitations from Google Calendar

  • IMPORTANT: If you turn off Google Calendar email notifications, you will not receive calendar invitations from Google users to your Office 365 Inbox/Calendar.
  • Meeting invitations from UW-Madison Google Calendar

    • If someone invites your Office 365 email address to a meeting using UW-Madison Google Calendar, the meeting will appear in both your Office 365 calendar and your UW-Madison Google Calendar
        • If you reply using Office 365, an email notification will be sent to that individual's inbox in Office 365. The reply will not be reflected in the event in that individual's Google Calendar.
        • If you reply using Google Calendar, an email notification will be sent to that individual's inbox in Office 365. Your reply will also be accurately reflected in the event in that individual's Google Calendar.

    • If you invite someone's Office 365 email address to a meeting using UW-Madison Google Calendar, the meeting will appear in both their Office 365 calendar and their UW-Madison Google Calendar
      • If the individual replies using Office 365, you will receive an email notifications about the reply in your inbox in Office 365. Their response will not be reflected in the event in your Google Calendar.
      • If the individual replies using Google Calendar, an email notification will be sent to your inbox in Office 365. The response will also be accurately reflected in the event in your Google Calendar.
  • Meeting invitations from non-UW-Madison Google Calendar

    • If someone invites your Office 365 email address to a meeting using Google Calendar with a non- UW-Madison Google Workspace account (e.g., a Gmail account), the meeting will appear in both your Office 365 calendar and your UW-Madison Google Calendar
      • If you reply from Office 365, the reply will be accurately reflected in the individual's Google Calendar.
      • If you reply from UW-Madison Google Calendar, the reply will be accurately reflected in the individual's Google Calendar.

    • If you invite someone's Office 365 email address to a meeting using Google Calendar with a non- UW-Madison Google Workspace account (e.g., a Gmail account), the meeting will appear in both their Office 365 calendar and their UW-Madison Google Calendar
      • If the individual replies from Office 365, the reply will be accurately reflected in the organizer's Google calendar.
      • If the individual replies from UW-Madison Google Calendar, the reply will be accurately reflected in the organizer's Google calendar.
