CALS O365 - Using Office 365 Service Accounts

Accessing and using O365 service accounts

CALS Administrative Computing Services (ACS) will create service accounts for CALS Administration staff usage as requested.   These will be separate email accounts serving a specific need or role.   By default, those staff that have been approved to access the service account will have their netids "linked" to the O365 service account enabling easy access through the web client (Outlook on the web/OWA).   In addition, most service accounts will be "searchable" in the O365 Global Address List (GAL). 

Service accounts will be "web-enabled" which will create account credentials (username/password) and allow the account to be used for some netid-based applications.

Using Outlook on the Web (OWA):

Method 1
  1. Go to the OWA login screen and supply your netid account credentials if not already logged in. 
  2. Select the service account ( from the list.
  3. This will open the service account in a new tab within your browser window.
Method 2
  1. Go to the OWA login screen and login to your Office 365 account. 
  2. Click on your profile picture (top right of the screen) and choose "Open another mailbox".
  3. Enter the email address of the service account ( and click Open.
  4. This will open the service account in a new tab within your browser window.

Method 3
  1. Open a web browser tab/window not currently logged into the campus netid login service. 
  2. Go to the OWA login screen. 
  3. Enter the Service Account credentials:
    • Netid = accountname_cals   (E.g. acs_cals if the email address is
    • Password = will be provided to you by ACS

Using Outlook Desktop Client (2010/2011/2013/2016):
  1. CALS ACS will configure your Outlook desktop client for the additional service account(s).   To request this service, please submit a ticket to the CALS HelpDesk system. (refer to CALS HelpDesk - Submitting a Ticket )
  2. Once the service account has been configured, you will see it in your account listing on the left-hand side of your Outlook screen.  If prompted for credentials, use the account credentials given to you by ACS.

Using Signatures with O365 Service Accounts
  1. Once the Service Account has been created and web-enabled, you can create a signature for the Service Account just as you would for your own O365 account.  See:

Sending From the O365 Service Account (Outlook Clients)

  1. Before sending a message, click the From drop-down select box and select the service account address from the list. 

    Note: The From field is hidden by default. If the From field is hidden, select Options from within the message you are composing, then select From.

  2. When you are ready, click the Send button.
  3. The sent message will then be saved to the Sent Items folder in the Service Account.

Importing Address Book Contacts Using OWA (Service account MUST be web-enabled)

  1. To import contacts into the Service Account address book, login to the Service Account with the service account credentials.   See Method 3 login above.  
  2. Then select Settings | Options from the Settings menu.
  3. Expand the People link on the sidebar and select "Import your contacts".
  4. Choose the .csv file and click the Import button.
