Publications Tab - Create New Catalog - Exporting

The final steps in creating a new catalog are to export the biographies and programs.

By clicking on "Export Biographies," a new window will open with all biographies downloaded in alphabetical order by last name.

The content can now be copied and pasted into a word document or into any type of publication software such as Indesign.  To copy click at the bottom right hand side of the copy and drag the mouse across to the top right so all content is selected.  Next right click and select "copy."  The entire content is now in the clip board and can be pasted where desired.

Notice the filters at the top of the window.  For large amounts of content, a user may wish to review only a particular section.  The filers allow a user to narrow the content by filtering it by:
  • Marketing Status
  • Coordinators/Program Assistants
  • Specialties
Also by checking the "Primary Specialty Only" box, only biographies for individuals in programs that have the primary specialty designated in the "Specialties" filter will be displayed.

By clicking on "Export Programs," a new window will open with all programs downloaded in the order defined in Publications Tab - Create New Catalog - Content and Formatting.  Notice that the copy is formatted according to the style established in the "Content & Formatting" functions.

Again, the content can now be copied and pasted into a word document or into any type of publication software such as Indesign.  To copy click at the bottom right hand side of the copy and drag the mouse across to the top right so all content is selected.  Next right click and select "copy."  The entire content is now in the clip board and can be pasted where desired.

Filters at the top of the window work the same as they do for Biographies (see above).

There is one additional document related to this area:  Publications Tab - Download copy to proof .  This document explains the steps that partners in a particular publication can take to download copy for proofing purposes.
