Dates Background

Within Canvas, instructors can set dates in two different locations. They can be set for the course and for sections. For more information on course dates, please see the Canvas guide How do I change the start and end dates for a course?. For more information about section dates, please the Canvas guide How do I edit the details for a course section?.

UW–Madison Defaults

Terms

Terms in Canvas are set to roughly correspond with UW–Madison term dates. This means instructors will typically have access to Fall semester courses around August and Spring semester courses around January.

Course Dates

By default, course dates will be blank for instructors as seen in the screenshot below.

When course start and end dates are blank, it means that these dates are set to the default term dates.

Section Dates

Section dates are set automatically when courses are generated and data is pulled in from the Course Guide. The section dates in Canvas correspond with the Meeting Dates (Course Guide) and Class Dates (Faculty Center). For example, in the screenshot below (taken from Faculty Center), I have highlighted where the class dates can be viewed. It is these dates that are pulled into Canvas sections.

NOTE: Canvas is currently configured in such a way that section dates override course dates by default.

Modify Access for All Students in Your Course

An instructor may want to provide early access to a course so students can preview course material before the actual start of the semester. An instructor may want the course to run up until final grades are submitted. In order to change the start and end time for the entire course, an instructor will need to modify the settings for all sections by unchecking "Users can only participate in the course between these dates". The following outlines how to modify access for all students in your course.

  1. Follow the Canvas guide How do I edit the details for a course section? and make sure "Users can only participate in the course between these dates" is unchecked before you click the Update Section button.
    • This checkbox is what causes section dates to override course dates. By unchecking this box, you are telling Canvas that you no longer want the section dates to take precedence over the course dates.
    • You will need to change this setting for all sections in your course if you want all sections to use the course start and end dates.
  2. Follow the Canvas guide How do I change the start and end dates for a course? and make sure "Users can only participate in the course between these dates" is checked before you click the Update Course Details button.
    • This checkbox is what causes course dates to override term dates. By checking this box, you are telling Canvas that you want the course dates to take precedence over the term dates.

NOTE: You will also have to make sure your course is published, if you want students to have access to your course. Setting the course dates will not provide students access if your course is unpublished.

Extend Access to Your Course for a Subset of Students

Instructors may want a few students to stay in the course beyond its term and/or course end date. An instructor may want to do this for students who have not fulfilled all their course requirements and are marked as incomplete until they finish their work. The following outlines how to extend student access to your course:

  1. Create a new section by following the tutorial located here: How do I add a section to a course?.
  2. Enter the start and end dates for the new section by following the tutorial located here: How do I edit the details for a course section?. Make sure the "Users can only participate in the course between these dates" box is checked.
    • This checkbox is what causes section dates to override course dates. By checking this box, you are telling Canvas that you want the section dates to take precedence over the course dates.
  3. Add students to this new section by following the tutorial located here:

How to Add People to a Course After the Course Has Ended

If a course’s end date has passed and the “Users can only participate in the course between these dates” option is checked, Canvas does not allow you to add people to your course, i.e. the +People button is greyed out.

To add people to your course you can either temporarily uncheck the “Users can only participate in the course between these dates” or set the end date in the future by following the tutorial located here:  How do I change the start and end dates for a course?. After you have added people to your course, you can change these options back to their previous settings.
