Uploading Contacts To Make a Shared List

Use this process to add your contacts to the Eloqua database with your group's contact label, so you can see and communicate with them.

IMPORTANT CONTACT UPLOAD GUIDELINES:

  • Larger Lists: Wait until end of workday or weekends (more than 5,000 contacts)

  • Avoid Mondays: Upload contacts and send email on other days

  • Upload Early: Allow up to 4 hours before seeing or mailing to your contacts in your Shared List and/or Segment


To upload contacts, you must have an Excel document with at least the following data, in two separate columns:

If you aren't sure what your Contact Label is or how to format an upload document, please contact marketingautomation@wisc.edu.

  1. Navigate to login.eloqua.com. Sign into UWMADISON using SSO (your NetID credentials).

  2. Click the hamburger menu (≡) in the upper left corner of the screen. Select Audience and then Contacts.

  3. On the next screen, click the Upload button.

    (NOTE: This screen is always "blank." You can only search and view one of your contacts here.)

  4. You will be taken to the Contact Upload Wizard.
    • Name your list! Choose a name that will be meaningful to you for future use, and help others find the list. This is important!
      • You will want to make it easy to find to use in a mailing Segment.
    • You cannot change the import Source, which will remain "Excel."
    • Leave Purpose: and Presets: alone.


  5. Click the cloud to upload your contacts file. (Note: If you have a multi-sheet Excel workbook, only the first sheet will be imported.)

  6. You will be taken to Step 2 - "Review", where you will see a preview of your data. Check it over, and if everything looks fine (i.e. this looks like the correct list), click Next.

  7. In Step 3 - "Map Fields" you will be asked to map your Source Fields (the columns of your contacts file) to the Target Field (fields on the contact records in Eloqua). Eloqua will attempt to match your columns to its fields. Leave Uniquely Match Contacts On: as Email Address.

    • If its mapping is correct, click Next
    • If you need to make changes to the mapping, click the "Target Field" you want to change and select the new field from the dropdown menu, then click Next.

  1. In Step 4 - "Finish", you will select if you are notified when the upload is complete.
    If you want to receive an email when the upload is complete, type your email address in the field under Send Upload Notification To:{your email address here}

  2. Click the switch "Add contact to a shared list" to put your newly uploaded list in your group folder, or to add this list of contact to a shared list you already have loaded in Eloqua.

  3. Click Submit.
    Eloqua will go back to the first page of the upload, and notify you that the process has started within Eloqua with "Uploading contacts".

  4. Uploading Contacts screenshotEloqua will upload your contacts to your desired Shared List, and you will receive an email from support@eloqua.com with the subject line, The contacts requested have been successfully uploaded. This email will outline how many contacts were added as new contacts and how many existing contacts were edited. We highly recommend opening and reading through this confirmation email to be aware of the success or failure details of your upload.







  1. You can find this list of contacts in Shared Lists, by going to the main menu and selecting Audience >,Tools > and Shared Lists. Then navigate to your folder. You can rename, copy, move, delete or open lists in this view.

*Don't forget that it may take 1 hour or more for the contacts to appear, if they do not already have your Contact Label.
 
Allow the Contact Label application process up to 4 hours to be completed. Keep checking your list or Segment for the correct number of contacts to populate.
