Connecting to a Shared Folder

Shared folders provide users with a common storage area for working on or saving files. Campus provides and maintains the shared folder (also sometimes called the shared drive) service. This document will explain how to connect to a shared drive/folder. The shared drive/folder service is a great way to work on or share files collaboratively with other UW-Madison employees. It is also automatically backed up. We can restore most files that have been accidentally deleted or damaged.

Requesting a New Shared Drive/Folder

  1. If you need a new shared drive for you group or project, we will need a DoIT number to pass along to the shared drive team.  Please contact the business Office for this.
  2. In most cases a shared folder is usually sufficient.  We usually create shared folders in existing shared drives.  Check with IIT staff first.
  3. We will need to know the following for a new shared folder.
    1. The name of the folder
    2. A list of people who should have access rights to the folder.
    3. IIT staff will create the folder and access control list based on this information.
    4. Changes to folder access (i.e. new or departing staff) should be communicated to IIT staff.  
  4. All shared drive/folder inquiries should be sent to helpdesk@pharmacy.wisc.edu

Mapping to a Shared Drive/Folder

"Mapping" is just another way to say "connecting".  Since Windows tends to use "map" and "mapping" we will use those terms here.  But otherwise just think of "mapping" as another way of saying "connecting my computer to a shared drive/folder".

Generally, if your computer is in Rennebohm Hall and connected to the campus network, Windows should automatically map your shared drive/folder for you.  If not, please try the following steps.  These steps will assume that your computer runs Windows version 11.  If you need help connecting from an earlier version or if the steps below are not working, please contact helpdesk@pharmacy.wisc.edu for assistance. 

  1. Log on to your Windows workstation with your NetID.
  2. If you are off campus, you will have to have VPN running before you can map to your shared drive/folder.  Please see KB 105400 for instructions on connecting to the campus VPN.
  3. Look for the "File Explorer" application and open it.  There are several ways to do this, but one way is to click the "Start" button and look for "File Explorer".

    1. On the left hand side look for the "Local" folder followed by your computer name.  It might also be called "This PC".  Either way, click on that.  You should see your storage devices (C:, D:, etc.)
    2. Click on the menu (three horizontal dots) at the top.
    3. Click on "Map network drive".
  4. Windows displays the following.

  5. In the Drive: drop-down list, you can select any available drive letter. 
  6. In the Folder: box enter ONE the following.
    1. \\sop.drive.wisc.edu\sop-office
      This is the shared drive used by most staff (and a few faculty) in the school and will be the most likely choice for most people.
    2. \\sop.drive.wisc.edu\dppd
      This is shared space set aside for the Division of Pharmacy Professional Development.
    3. \\sop.drive.wisc.edu\research-bugni
      This is shared space set aside for T. Bugni lab.
    4. \\sop.drive.wisc.edu\zpes-drive
      This is shared space set aside for the Zeeh Pharmaceutical Station.
    5. \\research.drive.wisc.edu\netid
      A "research" drive is shared space for research faculty and their staff/lab.  You must be added to a specific access control list before you can map these kinds of drives.  Replace "netid" in the folder string with the NetID of the research faculty whose research drive you need to access.
    6. \\restricted.drive.wisc.edu\netid
      A "restricted" drive is shared space for research faculty and their staff/lab who work with sensitive or restricted datasets (e.g. HIPAA data).  You must be added to a specific access control list AND the workstation you will use must meet certain requirements before you can use a restricted drive.  Replace "netid" in the folder string with the NetID of the research faculty whose restricted drive you need to access.

      ***NOTE*** to connect to a restricted drive share, you will need to have a VPN connection active that uses the School of Pharmacy departmental VPN portal.  Please refer to KB 123031 for instructions on setting this up and configuring it.

    7. PLEASE NOTE: 
      1. Please enter the drive/folder names exactly as shown here (including the back slashes "\" - these are usually the slash characters above the Enter key).  
      2. If you map to the wrong folder, no worries!  If your NetID in not in the access control list for that drive/folder, you won't see anything.
      3. These folder paths typically have many subfolders used for various applications.  You will only see those folders for which you've been granted access.
  7. If you will use the mapped drive regularly, make sure the Reconnect at sign-in box is checked.  The mapped drive should then be available right away the next time you log into your workstation.
  8. You can leave the Connect using different credentials box unchecked.  If you log into your computer with your NetID, Windows should use those credentials for creating the mapped drive/folder.
  9. Click Finish.  If all is working Windows should display a box with the shared folder contents.  You can then access the shared folder contents from any application by using the drive letter selected above.

Additional Tips

  1. Are you working off-campus?  Make sure VPN is active or you will not be able to map or open your shared drive/folder.
  2. Does your mapped drive/folder have a red "X" symbol on it?  Sometime Windows doesn't update that in a timely manner, and double-clicking it usually removes the red X while also opening the folder.
  3. Don't see the correct folders for your drive map?  Contact IIT staff to verify that your NetID has the correct folder permissions.
