DoIT Admin Calendar Purpose & Usage Guide Standard Practice

The following document describes the purpose and usage guidelines of the DoIT Admin Calendar. This calendar serves as a shared tool for tracking and coordinating administrative activities across DoIT teams by improving visibility, reducing duplication, and providing a single source of truth for admin work.

Purpose of the Admin Calendar

The Admin Calendar is a centralized tool used to capture, track, and share key administrative activities across teams and departments within DoIT. Its purpose is to:

  • Improve visibility into administrative work and timelines
  • Reduce duplication by making activities transparent across groups
  • Support coordination of shared resources, deadlines, and communications
  • Enable proactive planning by surfacing upcoming work and dependencies
  • Create a single source of truth for admin activities (can be recurring and one-time).

This calendar is not intended to replace team-level tracking, but rather to complement it by highlighting work that has broader visibility, impact, or coordination needs across all DoIT departments and teams.


Who Has Access

Anyone in DoIT can view the calendar and add it to their shared calendars in Outlook.

Individuals who need to add or manage content on the calendar can request delegated access from the calendar owner (shannon.larson@wisc.edu). Reference KB https://kb.wisc.edu/166273 for best practices for those with delegated access.


How to Access

To add the calendar to your shared calendar list in Outlook, refer to KB https://kb.wisc.edu/62886 for instructions. When clicking "Add from directory", enter DoIT-Admin-Calendar.
