Transferology - Add an Equivalent to Transferology (for current UW–Madison undergraduates)

This document explains how to request a course be evaluated and added to Transferology.

Overview

Transferology, an online transfer credit tool, allows students to see how courses at other institutions may transfer to the University of Wisconsin–Madison.

All courses fall into one of these three categories:

  • Match: The Office of the Registrar's Credit Evaluation Services (CES) team and applicable department(s) have determined the course has a UW–Madison equivalent. The course will transfer back to UW–Madison as a direct equivalent and/or elective credits.
  • Miss: The CES team and applicable department(s) have determined the course is not eligible for transfer to UW–Madison. The course will not transfer back to UW–Madison.
  • Maybe: The CES team and applicable department have not yet reviewed the course.

If you are a current UW–Madison undergraduate student, you can use this form (opens in a new window) to submit a syllabus for the course you would like to take that is not already in Transferology as a match or a miss and request the CES team evaluate it. Once that review is done, the course will appear in Transferology as either a match or a miss.

Before Getting Started

To request a course be evaluated to determine whether an equivalent UW–Madison course exists:

  • You must be a currently enrolled UW–Madison undergraduate student. Special students and prospective students are not eligible to use this service.
  • The course you are requesting we review must be from a U.S. institution and in that institution's course catalog. Courses from non-approved study abroad programs or international institutions cannot be equated before the course is taken. Courses not in the regular course catalog will not be visible on Transferology and are not eligible for pre-review.

Each form submission can be used for only one course. While you may submit more than one form, this service is meant to be used for courses a student truly intends to take. Submitting a large number of requests for courses you are not really intending to take just to see how they transfer will result in delayed processing time for everyone using the service. The CES team reserves the right to deny excessive requests.

What You'll Need

Before you begin your request, make sure you have the following information:

  • A syllabus for the course from the past academic year that includes (at a minimum) information about the textbook used, the assignments/exams required, and a weekly schedule of topics covered. If the course contains a lab, the syllabus must also include a schedule of experiments performed;
  • Your UW–Madison Campus ID number;
  • The name of the institution offering the course;
  • The course number/title; and
  • The number of credits.

Step-by-Step

Follow these steps to request a course be evaluated.

Check Transferology for a Previous Evaluation

Step 1

Navigate to Transferology and either log in with your existing account or create a new account.

Step 2

Click the "Will My Courses Transfer?" button.

Step 3

For the "School Name" field, enter the name of the institution offering the course. This should not be UW–Madison if you intend to see how the course will transfer to UW–Madison.

Step 4

For the "Taken" fields, enter the term and year in which you took the course or plan to take the course. It is imperative that the semester and year are the correct term in which you took the course or plan to take the course. Equivalencies can change depending on when a course is completed.

Step 5

For the "Department" field, use the department at the transfer institution, not the UW–Madison department. Courses in that department will appear.

Step 6

Select the plus sign to add the desired course to My Courses. The course department and number must match the course at the transfer institution exactly. For example, if Transferology shows MTH 101 and the course at the institution is MATH 101, the equivalency for MTH 101 is not valid for MATH 101. You may add several courses to My Courses from different institutions if you would like.

Step 7

Once all of the courses have been entered that you'd like to view equivalencies for, select "Search for Matches."

Step 8

UW–Madison will appear. You must click on the percentage match box to view how the course(s) will transfer. A 100% match indicates that there is an equivalency; it does not mean the course will transfer as you wish.

Step 9

If the course appears as a "maybe," continue to "Requesting an Evaluation" below.

If the course shows up as a "match" or a "miss," you cannot request an evaluation. Existing matches and misses are valid and will not be re-reviewed.

Requesting an Evaluation

Use the following steps to complete the Add an Equivalent to Transferology Request Form (opens in new window).

Note: You must complete a separate form for each course you wish to have reviewed.

Step 1

Enter your first and last name, Campus ID number, and Wiscmail email address.

Step 2

On the next page, enter your initials to certify you have checked Transferology to see if the course has previously been evaluated and found it to be listed as a "maybe," that the course is offered at a U.S. institution, and that you understand you will not be emailed once the evaluation is complete and will need to monitor Transferology for the result.

Enter the school name, city and state, subject name, course number, course title, and number of credits.

Step 4

Enter your initials to verify that the detailed syllabus you are preparing to upload is in .pdf form, from the past academic year, and contains the following information:

  • Information about the textbook used;
  • The assignments/exams required;
  • A weekly schedule of topics covered; and
  • If the course contains a lab, the syllabus must also include a schedule of experiments performed.

The form will allow you to submit up to two documents that are a maximum of 10MB in size each.

Step 5

Click the arrow in the lower right corner to submit your request.

Step 6

After submitting the form, the CES team and applicable department(s) will review the course to determine whether an equivalency exists. During this time, the course will appear in Transferology as a match with the "AdminUse TBD" equivalent when you use the "Will My Courses Transfer?" search. This is a placeholder to let you know that your course is in the process of being reviewed.

Note: The "AdminUse TBD" equivalent will not appear in the "Find a Replacement Course" search for either courses or requirement categories.

Step 7

When the equivalent decision is made by the department (within six weeks of the time of submission), we will update our system to reflect the actual course equivalent you will receive. Transferology will be updated with the actual equivalent the next Saturday.


Notes

  • All student-submitted syllabi are subject to verification by the external institution, must represent the actual coursework and learning outcomes completed at the external institution, and may not be modified, altered, or revised by the student. Students who submit course syllabi that are forged or falsified may be investigated for and subject to sanctions under UW–Madison's Academic Misconduct policy.
