Financial - How to Obtain Travel Inc. Itineraries as Documentation
This document describes how to obtain Travel Inc itineraries as documentation.
Audience
- Entomology, Plant Pathology, and Forest & Wildlife faculty and academic staff; Hub staff who book travel through Travel Incorporate
Overview
When you use Travel Incorporate to book travel, you will need a copy of the invoice for:
- e-reimbursement
- reconciling your p-card (purchasing credit card)
There are two ways to pull up the itinerary so you can access and download the invoice:
- by direct link in an email
- searching using the ticket number
Direct Link Instructions
When the travel is booked, the traveler receives an email:
- From: Travel Incorporate
- Subject: starts with "FINAL ITINERARY" followed by the traveler's name and the travel dates.
Steps to Download the Invoice
- Login to UW-TravelWIse:
- Go to this webpage: https://www.wisconsin.edu/travel/
- In the Logins section, click Travel Incorporated Portal.
- Open email (Outlook or Outlook 365).
- Locate the “FINAL ITINERARY” email.
Note: if you arranged travel for someone else (i.e. a Travel Arranger), have the traveler locate and forward this email to you.
- Click the link "View interactive eItinerary Online." (upper right corner under the Agency Locator number)
- The Travel Inc. portal opens, and the Interactive eItinerary page appears.
- Click Invoice on the menu at the left:
- The invoice opens.
- Click Print Trip & Invoice (top right corner):
- Save the file.
Searching Using the Ticket Number Instructions
Part A: Look up the Ticket Number in Concur
- Go to https://www.wisconsin.edu/travel/
- In the Logins section, click Concur Online Booking.
- Login.
- The Concur screen appears.
- Locate the My Trips section near the bottom of the screen.
- Click the trip link to view the Travel Details screen.
- In the Trip Overview section, located the ticket number.
- Select the ticket number and copy it.
Part B: Look up the Invoice via the Copied Ticket Number and Download the Invoice
- Login to UW-TravelWIse:
- Go to this webpage: https://www.wisconsin.edu/travel/
- In the Logins section, click Travel Incorporated Portal.
- Login.
- The Travel Incorporated Portal screen appears.
- Locate the Invoice Search box on the right of the screen.
- Click in the box and paste the ticket number you copied.
- Press Enter.
- The Interactive eItinerary page appears.
- Click Invoice on the menu at the left:
- The invoice opens.
- Click Print Trip & Invoice (top right corner):
- Save the file.
