Flexible Work Arrangements (formerly Remote Work Agreements)

- Entomology, Plant Pathology, and Forest & Wildlife faculty, students, and staff; Russell Labs Hub staff
Overview
CALS allows employees to apply for remote work arrangements. They support a hybrid workplace environment for faculty and staff, while supporting the overall goals and mission of the college and UW-Madison as whole.
Beginning July 7, 2025, agreements for these arrangements will be:
- moved from the Human Resource System (HRS) to Workday
- renamed Flexible Work Arrangements
The term "flexible work arrangement" should not to be confused with "workplace flexibility." The definition and use of "workplace flexibility" remains the same.
Renewal
FY 2026 Flexible Work Arrangements run from July 1, 2025 - June 30, 2026.
Employees must review and complete a new Flexible Work Arrangements form each year, even if there are no new changes from the prior arrangement.
Deadline
The deadline for form submission is July 31, 2025.
How to Renew Your Flexible Work Arrangement
Tips
- Plan ahead and allow plenty of time to complete your form and for approvals.
- Workday is a brand new system for UW-Madison. Instructions and screens may change once we learn more about the system.
Steps
Before you start:
- Print out your last Remote Work Agreement form from HRS. Use it as a guideline for completing this year's form.
- Contact your supervisor for approval.
In Workday:
Follow these instructions on requesting a Flexible Work Arrangement in Workday.
- Save a copy of the agreement in PDF format for your records.
- Review the emails you receive from the system related to each processing step.
Approval Process
Once you have completed and submitted your Flexible Work Arrangement online, the system will route the application information to:
- your supervisor or manager
- the assigned CALS HR rep
Once your supervisor or manager and the assigned CALS HR rep receives the request, they have three options:
- Approve the Request
- Send the Request back to you for changes/additional information
- Deny the Request
Monitor your Workday My Tasks block and complete any new tasks that appear in it.
Changes
Once approved, Workday will not allow you or your supervisor or manager to edit the Flexible Work Arrangement.
If changes are needed, you must end the existing arrangement, create a new one and submit it for approval.
