Overview
In Workday, every university expenditure is tied to Worktags that identify the purpose and funding source of expenses.
There are four types of Worktags in Workday:
Driver Worktags
- The first worktag entered on a transaction and show the primary source of funding.
- Examples: Gifts, Grants, Projects, or Programs
Related Worktags
- Auto populate after a driver worktag is entered.
- Examples: Cost Center, Fund, and Function
Operational Worktags
- Need to be entered on operational transactions.
- Describe the “what” of for a transaction.
- Examples: supplier invoices and payments, spend categories, and revenue categories
Optional Worktags
- Provide further information about a transaction.
- Examples: activity and expenditure treatment

Translating the SFS Funding Strings into Workday Worktags
SFS (Shared Financial Systems) used funding string made up of multiple components:
Workday funding strings use only worktags.
The table below shows SFS funding string values and their Workday worktag counterparts.
SFS Name | Workday Name | Describes |
---|---|---|
Account Code | Spend Category/ Expense Item (Operational worktag) | Categorizes the nature of the transaction; e.g. lab supplies |
Fund | Fund (Related worktag) | Funding source, AKA where the money is coming from |
Project | Grant, Gift, Project, Program, or Activity (Driver worktag) | Used to capture all the transactions associated with a specific grant, contract, or activity |
Department | Cost Center (Related worktag) | College and department under which the spending takes place |
Program | Function and Ledger Account (Related worktag) | The purpose or mission of the transaction; e.g. instruction versus outreach |

How to Use the Workday Crosswalk Tool
Problem:
You need to know the Workday worktag equivalent to this SFS funding string:
- Fund: 101
- Department: 077510

Solution:
Use the Workday Crosswalk Tool to find the equivalents:
- Open the Crosswalk Tool page.

Type or paste the SFS project code (AAJ1682) in the SFS Search box (top left):
Note: you don't need to press Enter. The search starts automatically when you finish typing or pasting. - Workday searches and displays the results in a table further down the page:

Review the search results. Locate the record that most closely matches your search criteria:
- SFS Department: 077510
- SFS Fund: 101
- SFS Program: 4
- SFS Project: AAJ1682
For both records, the first three columns are the same.
The difference is in the fourth column - SFS Program.
The second record shows the code that most closely matches your search criteria, so that's the record you want. -
