Autoclave Reservation Spreadsheet (Plant Pathology)

This document explains how to access the Plant Pathology autoclave reservation spreadsheet.

Audience

  • Entomology, Plant Pathology, and Forest & Wildlife faculty, students, and staff

Overview

The autoclaves and some other lab equipment in Russell Labs must be reserved before use.

Reservations are made using a Google Sheet.

Prerequisites to Access the Google Sheet

  • Active status as a UW employee* or UW student.**
  • An active UW-Madison NetID.
  • Training on how to use the Russell Labs autoclaves.

*In some cases, non-UW employees may be granted special access to the spreadsheet for a specific time period.

Example - a USDA employee working in collaboration with employees in one of the three departments in Russell Labs (Entomology, Plant Pathology, Forest & Wildlife Ecology).

To apply for special access, please complete the Request Special Access form.

**Students from other schools including tech colleges and high schools who work for the UW must be added to the campus Special Authorization file in order to get a NetID.  You can find the steps involved on the CALS HR Student Hourly page.

Accessing the Google Sheet

The Google Sheet is a shared resource used seven days a week by all three departments.

Please treat the Google Sheet with care - it belongs to the Plant Path department chair.

Use it only for data entry.

  1. Use a desktop or laptop computer. Do not use a touch screen (smartphone or tablet) - you can easily break the grouped rows.

  2. Log out of your personal Google account.

  3. Login to your UW-Madison Google account.

  4. Open the autoclave reservation Google Sheet

  5. Look at the bottom of the Google Sheet - the spreadsheet has tabs at the bottom for each floor with autoclaves. Click the tab for the appropriate floor.

  6. Make your reservation following the instructions on the Instructions tab.

When entering your name, include both your first and last name. There are over 500 people in Russell Labs, and all three departments use the Google Sheet.

  7. Close the spreadsheet so you don't accidentally damage it.

Troubleshooting Tips

If you can't access the Google Sheet, try the following steps - do not click "Request Access."

  1. Check that you have all the prerequisites listed above completed and have activated your NetID.

  2. Make sure you are logged into your UW-Madison Google account, not your personal Google account.

  3. If you still can't access the Google Sheet, open a different browser than the one you're using, then try accessing the Google Sheet.

Example: If you can't access the spreadsheet in Firefox, try accessing it via Google Chrome or Microsoft Edge.
