Microsoft 365 - Scheduling A Teams Meeting From Outlook Calendar

This document goes over the expected appearance and functionality of the Teams Meeting Add-In for the most recent versions of supported Outlook clients. Teams meetings can be viewed within the Outlook and Teams calendars.

Important: Microsoft is currently in the process of rolling out the default behavior when creating meetings - this feature should be available to all users by end of January 2022. To set the default online meeting action, review make every meeting online support article. Learn more about this setting.

Outlook On The Web

When using Outlook On The Web's calendar, Teams Meetings can be created by selecting New Event Button. This will open up a new window where you can configure a new event. To turn this event into a Teams Meeting, tick the the 'Teams Meeting' slider next to "search for a room or location" to on (shown below).

You can then finish configuring the other fields of the meeting and then click 'save' in the upper left of the meeting window.

Outlook for Windows

When using the Outlook Desktop client for Windows to manage the calendar, Teams meetings can be created by selecting Outlook for Windows Teams Meeting Button on the top ribbon. This will open a separate window where you will be prompted to configure the meeting before selecting 'send' to send a Teams Meeting invite to all attendees. 

Teams meetings can also be created within the 'new meeting' and 'new appointment' tabs by first selecting their respective options from the top ribbon. Once this opens the new window for configuring either a new meeting or a new appointment, users can then select Outlook for Windows Teams Meeting Button  to turn the event into a Teams Meeting. Note: Making a teams meeting out of an appointment will change the configuration window from the new appointment configuration window to the new meeting configuration window.

Outlook for Mac

When using the Outlook Desktop client for MacOS's calendar tab, Teams meetings can only be created from within the new/edit meeting/event creation window.
