Manifest - Directions for Verification Process
For an overview, please review Manifest - Verification Overview. The process contains these steps:
- Review Automated Emails
- Review group members and update access as needed
- Review group privileges and update as needed
- Review the service(s) that this group is eligible for
- Verify
- Designate a Verification Contact Email (Optional)
Review Automated Emails
Manifest group owners (aka group administrators) responsible for completing the verification process will receive automated emails from manifest@doit.wisc.edu. Review Who Completes Verification (Source: kb.wisc.edu) for details on who must complete verification.

If you are a group administrator for more than one Manifest group, the email will list multiple Manifest groups.

Complete verification and the below steps for each Manifest group.

Some manifest groups have multiple administrators, the email will list the other manifest group administrators receiving the email so you can coordinate completing verification.

Click on the link labeled “Complete Verification here” to start the process

The link will take you to Manifest for the specific Manifest group

Manifest will have a yellow banner with the attestation due date and a “Verify” button. Do not click on the “Verify” button until after you have completed the below steps.

Review group members and update access as needed

Click on the Members tab:
- Do not click on the “Verify” button until you have completed the below steps.
- Review each member of the group to determine if they should remain in the group or if there are any missing members.

Update membership as needed using Manifest - Manage Group Members (Source: kb.wisc.edu).

Exporting the list of members may be useful. In the upper right corner click on the “More actions” button, from the drop down list select one of the export members options.

The exported list will include:

Group members names
-
Group member’s email address
-
Group member’s NetID
-
The person that added the member to this Manifest group

The date the member was added to this Manifest group
-
Comments for this member associated with this Manifest group
-
End date (when the group member will be automatically removed from the group)

Review group privileges and update as needed

Do not click on the “Verify” button until you have completed the below steps.

Review, and as necessary make updates to, who has access to see the group and who can make updates to the group. This is also known as Manifest group privileges.

Click the Privileges tab. A list of the current users with privileges will show.

Review privileges for each person listed.

As needed, update the privileges or individuals listed.

Use the Manifest - Manage Group Privileges (Source: kb.wisc.edu).

If you are no longer responsible for the Manifest group then, first add/update privileges for a different, then remove your privileges.

Review the service(s) that this group is eligible for
Please make sure the group requires access to the services this group is granting access to.
- Do not click on the “Verify” button until you have completed the below steps.

In the upper right corner click on the “more actions” button, from the drop down list select “View where this group is used”

This will open the “Management Tools” page in a new tab in your browser. Please leave the original tab for group details open.

On the “management tools” page you will see the search results for the manifest group you are reviewing. This page will list services that this Manifest group has access to through Manifest.

Review the services listed under Direct Group Membership and Indirect Group Membership

If this Manifest group is granting access to other tools/services outside of Manifest, those will not be listed. For example, if the Manifest group is being leveraged by other applications or views to grant access, then that information will not be displayed.

If you have administrator privileges for the service group, then you can remove your Manifest group as needed. Navigate to the service group and under the Members tab, remove the desired manually maintained manifest group.

If you do not have the appropriate permission level to make this update then please submit the request to manifest@doit.wisc.edu.

If you’d like to request additional services please please submit the request to manifest@doit.wisc.edu.

Verify

Navigate back to Membership Tab

The Group Details information is open in the original browser tab, go back to that browser tab and select the “Membership” tab.

After you have confirmed the membership, administrator privileges, and services are accurate for the manifest group click “Verify”

In the upper right hand corner a banner will briefly display indicating that verification was completed

The verification due date will be reset to 365 days later.

Overnight an email confirmation will be sent to all Manifest group administrators for that group

Designate a Verification Contact (Optional)
Manifest users with the following privileges are responsible for completing verification. These individuals will receive email notifications from manifest@doit.wisc.edu with directions and reminders for verification of their groups.

People who have ADMIN privileges on the group

People who have UPDATE and READ privileges on the group

A designated verification contact.
Why designate a verification contact?
Some groups have many group administrators. Each group administrator receives the request to complete verification. Sometimes, when many people are being asked to complete a task, it is unclear which person will actually complete the request. The verification contact data field allows the group administrators to enter the person/ people that will be responsible for completing verification. Using the verification contact data field limits who gets the verification emails.
Example: A Manifest group that requires verification has 15 people with either “Admin” or “Update” and “Read” access. These 15 group administrators will all receive the emails to complete the verification process. If these group administrators enter 2 people as verification contacts, then only those 2 people will get the verification emails.
What does designating a verification contact do?
Groups with a designated verification contact(s) will only have verification emails sent to the verification contact. Other individuals with “Admin” or “Update” and “Read” access will not get the verification emails for a group with a verification contact defined.
Designating a verification contact does not automatically update that person’s privileges for a group. For more information on privileges, please review the Manifest - Manage Group Privileges (Source: kb.wisc.edu).
A verification contact can only be designated for Manifest groups that have verification enabled. Group Administrators may request to have the verification process turned on for their groups by emailing the request to manifest@doit.wisc.edu.
Add or Update a Verification Contact

Determine who will be the verification contact for this Manifest group.

Only individuals with “Admin” or “Update” and “Read” privileges can complete verification; therefore only these people should be added as a verification contact.

Navigate to the Privileges tab for your Manifest group to review who has the necessary privileges. If necessary, update privileges.

Navigate to the Contacts tab for your Manifest group

If verification is enabled, you will see a “Verification Contact Email”

Enter the email address of the person you would like to be the verification contact into the text box and press “Save”

If you would like to designate multiple contacts, please enter all emails into the text box and separate them with commas
-
This will also add the email address as an administrative contact for the group
-
If successful, a banner will display indicating the contact was updated.

To edit the verification contact email address, edit the text and press “save”

To remove your verification contact, delete all text in the text box and press “save”

Additionally, press “remove” next to the email address under “Administrative Contacts”

This will not remove any privileges the person has on the group

Note: you may not remove all administrative contacts for a group. At least one is required.

Who will receive the emails to complete verification?

If a verification contact has not been defined, then individuals with either “Admin” or “Update” and “Read” access will get the verification emails.

If a verification contact has been defined, then that email address will get the verification emails. Other individuals with “Admin” or “Update” and “Read” access will not get the verification emails for a group with a verification contact defined. If a verification contact email is entered, the contact email will receive communications in place of these individuals.

Who do I contact if I have questions?

Reply to the email you received asking you to complete verification. These emails are sent from manifest@doit.wisc.edu and your questions will be routed to the appropriate team.

What if I shouldn’t be an administrator for this manifest group?

If you no longer require the administrator or update and read privileges for this manifest group, please follow instructions in the Manifest - Manage Group Privileges (Source: kb.wisc.edu) to first add/update privileges for a different user, then remove your privileges.

What happens if this verification process is not completed?

Please review Manifest - Verification Overview (Source: kb.wisc.edu) for additional information on overdue emails and a process that ultimately results in group members being removed from the Manifest group.
- This verification process contributes to the overall security of the University to ensure that people receive access to only those services that they require and those services are not extended to people that should no longer have access.
